Job Responsibilities (Admin Assistant – QS / Contract Department)

  • Provide administrative support to the Quantity Surveying (QS) and Contract team.
  • Maintain proper filing and documentation system (both hardcopy and digital) for contracts, claims, drawings, and correspondence.
  • Assist in preparation and compilation of progress claims, variation orders (VO), and final account documents.
  • Track submission timelines and follow up on approvals, certifications, and payments.
  • Compile and organize supporting documents for subcontractor claims and interim payments.
  • Coordinate with site team, QS team, consultants, and accounts department for documentation and payment matters.
  • Assist in tender document preparation, quotation requests, and submission process.
  • Maintain and update contract records, project trackers, and reports.
  • Prepare correspondence, reports, and meeting minutes as required.
