Scope of the Role

The Operations Coordinator will support day-to-day operational workflows across inventory, fulfilment, procurement and backend ecommerce systems. This role starts as part-time for the first few months and has the potential to transitions into full-time. The ideal candidate has hands-on experience with Shopify and CIN7, a strong operational mindset, and preferably a background in the beauty industry.

Duties and Responsibilities:

Inventory & System Management

  • Manage and maintain product data, inventory levels, SKU information, and BOMs (Bills of Materials) across Shopify and CIN7
  • Execute SKU updates, product launches, and operational tasks supporting the ecommerce calendar
  • Perform routine QA checks across systems to ensure data accuracy, operational consistency, and inventory integrity
  • Support the ERP transition and implementation, ensuring accurate data migration and system adoption
  • Monitor inventory accuracy metrics and support physical inventory auditing processes

Fulfillment & Order Management

  • Coordinate fulfillment processes, troubleshoot order issues, and ensure timely shipments across all distribution channels (DTC, wholesale, retail)
  • Monitor order flows and communicate with 3PL warehouse team to ensure smooth receiving, QC, kitting, and distribution operations
  • Process and track intra-warehouse transfers and inventory movements
  • Support customer service escalation by providing operational insights (inventory availability, order status, shipment tracking)

Procurement & Supply Chain Coordination

  • Track and manage purchase orders from creation through delivery, maintaining accurate records in CIN7
  • Monitor incoming POs, supplier timelines, lead times, and coordinate with warehouse on inbound shipments
  • Serve as a point of contact for supplier communications regarding order confirmations, shipment tracking, delivery schedules, and issue resolution
  • Flag potential supply chain delays that could impact inventory availability or product launches
  • Support demand planning activities by tracking sales trends and promotional calendars
  • Maintain accurate costing data and coordinate with finance to reconcile supplier invoices against purchase orders and receipts
  • Assist with supplier onboarding including documentation collection and system setup

Requirements:

  • Must have: Strong experience with Shopify and CIN7 (mandatory).
  • Preferred: Experience in the beauty industry or high SKU-count consumer brands.
  • 2–4 years in ecommerce operations, fulfilment, or supply chain coordination.
  • Excellent organisational skills and attention to detail.
  • Ability to work EST hours and communicate clearly across global teams.
  • Comfortable in a fast-paced environment with shifting priorities.
  • Strong problem-solving skills and ability to work independently.

Preferred Qualifications

  • Experience in the beauty industry or high SKU-count consumer brands
  • Familiarity with EDI systems and wholesale/retail order management
  • Understanding of supply chain metrics (lead times, inventory turnover, fill rates)
  • Knowledge of BOM maintenance and SKU lifecycle management
  • Exposure to 3PL warehouse operations and fulfillment processes
