Role Overview

We are looking for an Admin (Accommodation) Specialist to join our dynamic operations team in Kolkata . This role is critical for managing end-to-end accommodation logistics for I-PAC's mobile campaign teams deployed across the state. From identifying suitable properties to coordinating daily check-ins and troubleshooting on-ground issues, you’ll be the backbone of smooth, reliable staff deployment.

Key Responsibilities

• Identify, evaluate, and secure accommodation facilities (hotels, guest houses, apartments) across campaign regions
• Negotiate rates and finalize contracts with property owners or managers, ensuring cost-effectiveness and service quality
• Coordinate booking, allocation, and occupancy tracking for team members
• Manage daily check-in and check-out processes, addressing logistical needs and grievances as they arise
• Maintain accurate records of bookings, invoices, and vendor contracts
• Ensure all accommodation facilities meet hygiene, safety, and operational standards through periodic checks
• Collaborate with internal departments (Deployment, HR, Admin, Finance) to align logistics with movement schedules
• Build and maintain a reliable network of property vendors across multiple districts
• Travel on short notice to oversee property readiness and resolve urgent accommodation-related issues on-ground

Key Skills & Requirements

• 2–4 years of experience in administration, facility management, hospitality, or travel coordination
• Strong negotiation and vendor management skills
• Excellent organizational and time management abilities
• Ability to work under pressure and handle multiple moving parts
• Proficiency in Excel, Google Sheets, and documentation tools
• Comfortable traveling across cities and districts
• Fluency in English, Hindi, and Bengali preferred
