Role Description:
To manage day-to-day workplace operations and on-ground execution, supervise admin support staff, handle office assets and infrastructure, and ensure a clean, safe, disciplined, and smoothly functioning office environment.
Reports to: People Success Manager
Direct Reports: Pantry boy, Office boy
Key Responsibilities:
- Team Supervision & Task Allocation
- Assign daily tasks to the pantry boy and office boy wisely and optimally
- Balance workload and priorities
- Ensure attendance, punctuality, discipline
- Ensure backup coverage during leave or absence
2. Internet & IT Infrastructure Management
- Manage office internet connectivity, including:
- Broadband connections
- Internet Leased Line (ILL)
- Coordinate with ISPs for downtime
3. Asset Management & Technical Handling
- Handle office assets, including laptops, monitors, chargers, peripherals and accessories
- Allocate assets to new joiners and recover assets during exits
- Maintain accurate asset inventory records
- Handle first-level technical troubleshooting
- Coordinate with vendors for advanced issues
4. Daily Office Operations
- Manage day-to-day office operations, including tea, snacks, fruits, and pantry services
- Office opening and closing
- Ensure daily admin checklists are completed without fail
5. Workplace Hygiene & Environment
- Maintain cleanliness across: pantry, washrooms, meeting rooms, common areas
- Ensure hygiene checklists are followed strictly
- Coordinate deep-cleaning activities as planned
- Proactively suggest improvements for a clean, organised, and pleasant workplace
6. Maintenance Management
- Handle floor-level maintenance issues, for example: electrical, plumbing, AC, furniture
- Coordinate with vendors and track issue closure
7. Inventory, Purchases & Expense Support
- Maintain minimum stock levels-housekeeping, stationery, site reqs
- Manage site-level purchases and expenses
- Maintain records of purchases and sales
- Submit bills and supporting documents to the accounts team on time
8. Guest, Courier & Travel Support
- Handle guest hospitality
- Manage courier dispatch
- Support domestic travel coordination when required
9. Events & Coordination
- Support internal and external events
- Coordinate logistics, vendors, and setup
Must-Have Requirements:
- Prior hands-on experience managing an office floor
- Strong knowledge of office assets (laptops, monitors, chargers, peripherals)
- Basic technical troubleshooting ability
- Ability to manage internet connectivity (broadband / leased line coordination)
- Vendor negotiation or cost-optimisation experience
- Strong discipline, ownership
Best-to-Have Skills:
- Experience using AI tools to improve productivity (tracking, documentation, reporting)
- Proven experience in introducing process improvements or SOPs in previous roles
- Experience handling office relocations or office setup
- Ability to suggest workplace experience improvements
