Job Summary:

The Manager – Admin will be responsible for the smooth day-to-day functioning and administrative oversight of a building and its related operations. This role ensures that the premises are safe, well-maintained, legally compliant, and efficiently managed. The ideal candidate will act as a liaison between building tenants, contractors, vendors, and owners, handling everything from facility upkeep to tenant communications and legal documentation.

Key Responsibilities:

  • Serve as the primary point of contact for tenants, contractors, staff, and visitors.

  • Oversee daily building operations, including cleaning, security, repairs, and maintenance.

  • Coordinate with vendors for scheduled maintenance, repairs, and inspections.

  • Maintain up-to-date records of maintenance logs, contracts, compliance certificates, and tenant correspondence.

  • Manage expenses and assist in preparing budgets related to building services.

  • Handle leasing administration, including coordination of tenant move-ins/move-outs and space planning.

  • Supervise building access systems, including issuance and tracking of keys/access cards.

  • Liaise with vendors and legal representatives to ensure service-level agreements are followed.

  • Address and resolve tenant complaints and service issues efficiently and professionally.

  • Interact with municipal authorities regarding property taxes, complaints, and regulatory issues.

  • Handle bank-related tasks and provide administrative support to the building owner.

  • Maintain daily communication with the building owner via phone or WhatsApp regarding ongoing tasks and updates.

  • Requirements:

  • Proven experience in facilities management, property administration, or a similar administrative role.

  • Strong knowledge of building maintenance procedures and operational workflows.

  • Proficient in Microsoft Office (Excel, Word, Outlook).

  • Strong verbal and written communication skills in English.

  • Must be organized, detail-oriented, and capable of multi-tasking.

  • Ability to handle third-party vendors, contractors, and government authorities.

  • Minimum Qualification: High School Diploma; preference will be given to candidates with an Associate’s or Bachelor’s Degree.

  • Preferred Attributes:

  • Familiarity with property tax filing, documentation processes, and local municipal operations.

  • Good interpersonal skills to maintain a professional rapport with tenants and stakeholders.

  • Experience using WhatsApp and mobile communication for daily reporting.
