Our client is an exciting and fast growing, innovative national company specialising in automation software solutions to predominantly the finance industry.
Due to growth, we have an exciting career opportunity for a highly organised Administration Assistant to join their growing team. Within this role you will work closely with management and provide day to day administration support, as well as support the wider team with documentation preparation, organising meetings, travel arrangements, diary management and basic accounts support.
This role is ideal for an individual that enjoys being an "all-rounder" and having variety in their day.
Within this role, you will be responsible for:
- Work closely with the CEO to assist with general administration, documentation preparation and diary management.
- Manage accommodation and travel arrangements
- Prepare agendas, meeting minutes and follow up on actions to ensure outcomes are achieved.
- Assist with preparation of policy and procedures, various presentations and correspondence.
- Assist the accounts team with processing accounts payable, accounts receivables, bank reconciliations and monthly invoicing.
- Prepare client contracts/agreements
- Coordinate functions and team events
- Arrange office supplies and uniforms
- Manage offshore administration team and provide administration support to management and team
What we're looking for:
- Minimum 3 years experience in a similar role
- Finance industry experience (favorable but not essential)
- Proven ability to build effective relationships with employees, clients and other stakeholders
- Advanced computer skills including keyboard speed and accuracy as well as in-depth knowledge of MS Office Suite. Experience with Xero highly favourable.
- Comprehensive knowledge of executive office administrative practices and procedures
- Proven strengths in high attention to detail and an ability to work in a fast-paced environment, under pressure
- Coordination and facilitation of meetings
- Strong diary management for multiple stakeholders
- Energy, drive and a can-do attitude
- Strong work ethic
- Highly organised with experience managing multiple tasks/projects
- Critical thinking and problem solving skills
- Ability to work autonomously and manage your time
- Ability to work in a team environment to ensure deadlines are met
- Current drivers licence
Benefits:
- $70k-$90k + super (neg)
