Administrative Arranger / Client Services Coordinator – Bilingual (Mandarin & Cantonese)

MAYDAY Recruitment is partnering with a highly respected, long-established organisation within the funeral and end-of-life services sector to recruit an Administrative Arranger / Client Services Coordinator based in Fairfield, West Sydney.
This is a front-facing, office-based role supporting families through funeral arrangements while coordinating all administrative and logistical requirements. You’ll be joining a close-knit, self-sufficient team known for its stability, strong culture, and supportive leadership.
Mandarin and Cantonese language skills are essential. Vietnamese language skills are highly regarded.
The role
This position plays a key role in supporting families and the wider team by ensuring all arrangements are handled with care, accuracy, and professionalism.
Responsibilities include:

Meeting with families and supporting them through funeral and service arrangements

Managing inbound enquiries with empathy and professionalism

Coordinating bookings, schedules, and service logistics

Preparing and processing documentation, records, and service details

Managing data entry and administrative tasks for the wider team

Liaising with internal operational teams and external service providers

Ensuring all arrangements meet legislative, procedural, and compliance requirements

Maintaining strict confidentiality and sensitivity at all times

Open to attending and assisting with temple and funeral services (full training provided)
The majority of services are Buddhist, and many arrangements are conducted in languages other than English.

Team of 6, operating independently from a well-presented, two-storey facility

On-site mortuary, with all arrangements and services run in-house

Exceptionally stable team, with tenure ranging from 5 to 20 years

About you
You’ll be a calm, organised, and emotionally intelligent administrator who is comfortable in a client-facing role.
You will bring:

Fluent Mandarin and Cantonese (essential)

Strong administration, coordination, or customer-facing experience

Excellent communication skills and the ability to handle sensitive conversations

High attention to detail and strong time management skills

Confidence using Microsoft Office and internal systems

A professional, empathetic, and composed approach

Hours & flexibility

39 hours per week

Typical roster: 8:40am–5:30pm

Flexible start/finish times available (e.g. 8:00–4:00 or 7:30–3:30)

Occasional standby and weekend work, shared across the team
