Job Summary:

Provides administrative and clerical support for assigned functional director and staff, while maintaining awareness of and sensitivity to confidential matters.

Responsibilities:

  • Coordinates manager's calendar, meetings, correspondence and presentations as needed.
  • Coordinates all necessary arrangements for customer visits.
  • Provides Travel Director with global rental car price comparisons and reviews compliance.
  • Assists with global RFP hotel recommendations and negotiations.
  • Administer the iQor Travel Coordinator Program worldwide.
  • Provides backup support for Global Corporate Card Program as needed.
  • Provides backup support for Global Expense Program questions as needed.
  • Coordinates director's calendar, meetings, correspondence and presentations as needed.
  • Provides clerical and administrative support to Director's and staff.
  • Coordinates and arranges meetings, reserves facilities and records/transcribes minutes of meetings.
  • Participates or leads special projects/events when requested/as needed.
  • Arranges and coordinates travel schedules and reservations for travel department staff when required.
  • Assists travel coordinators with travel issues.
  • Reviews and summarizes miscellaneous reports and documents; prepares reports and graphs as needed.
  • Orders and maintains supplies.
  • Coordinates all necessary arrangements for customer/vendor visits.
  • Manages on-line travel tool (compliant with global approvers, travel coordinators, policies and preferred hotels).
  • Researches and resolves hotel billing issues and complaints.
  • Researches for report any rental car accidents, billing issues and/or complaints.
  • Performs other duties as assigned.
  • Skills Requirements:

  • 2 or more years of work-related experience required.
  • Regular business hours. Some additional hours may be required.
  • Travel requirements: Domestic and/or Global, up to 25%.
  • Climate controlled office environment during normal business hours.
  • Education Requirements:

    High school diploma, G.E.D., Trade/Vocational School certificate or equivalent required.

    Physical Requirements:

    Occasionally exert up to 10 lbs. of force to push, pull, lift or otherwise move objects. Have visual acuity to perform activities such as preparing and analyzing data; and/or viewing a computer terminal. Speak, type and/or sit for extended periods of time. Consistent attendance is an essential function of the job.
