We are seeking a highly organized and reliable Administrative Assistant with hands-on experience using QuickBooks. This role is essential for ensuring the smooth operation of our office and managing basic financial records. The ideal candidate is proactive, detail-oriented, and proficient in standard office software.
Key Responsibilities:
Financial & Bookkeeping Support:
Perform basic bookkeeping tasks using QuickBooks Desktop/Online (e.g., invoice generation, data entry, processing A/P and A/R).
Assist with bank and credit card reconciliations.
Organize and file financial documents and receipts.
Administrative Support:
Manage and organize physical and electronic files.
Answer and direct phone calls, greet visitors, and manage incoming/outgoing mail.
Schedule appointments, coordinate meetings, and manage the office calendar.
Order and maintain office supplies and manage vendor relationships.
Provide general support to team members as needed.
