About the Role:

We are looking for a detail-oriented, proactive Administrative Assistant to provide essential support to our teams. This role involves expert, agile management of calendars, travel arrangements, expense reporting, and day-to-day administrative operations in our Pune office. Key Responsibilities:

  • Orchestrate complex calendaring across multiple executives, site lead, and teams to ensure seamless scheduling and prioritization across multiple time zones.

  • Coordinate all aspects of domestic and international travel arrangements, including flights, accommodations, transportation, and detailed itineraries.

  • Process and reconcile expense reports accurately and timely, maintaining compliance with company policies.

  • Serve as a dependable point of contact for internal teams and external partners, promoting exceptional service and clear communication.

  • Collaborate closely with other administrative staff to streamline workflows and share best practices across departments while embracing complexity.

  • Assist with coordinating meetings, events, logistics, and cross-functional projects toward timely execution while enhancing team collaboration and productivity.

  • Maintain organization and support special projects as needed, contributing to operational excellence.

Qualifications:

  • Proven experience in an administrative assistant or similar role, preferably supporting multiple stakeholders across a globally dispersed business.

  • Exceptional organizational skills with a strong ability to manage heavy calendaring and detailed travel logistics.

  • Strong interpersonal and communication skills, demonstrating a service-oriented mindset.

  • Reliable collaborator who thrives in teamwork; embraces continuous learning and growth.

  • Ability to handle multiple competing priorities with professionalism and attention to detail.

  • Proficiency with expense management systems and office productivity tools (e.g., Google Workspace, Zoom, Slack).

Please note that Zendesk can only hire candidates who are physically located and plan to work from Karnataka or Maharashtra. Please refer to the location posted on the requisition for where this role is based.

Hybrid: In this role, our hybrid experience is designed at the team level to give you a rich onsite experience packed with connection, collaboration, learning, and celebration - while also giving you flexibility to work remotely for part of the week. This role must attend our local office for part of the week. The specific in-office schedule is to be determined by the hiring manager.
