Administrative Assistant 3 Job Summary: Talent Software Services is in search of an Administrative Assistant for a contract position in Austin, TX. The opportunity will be six months with a strong chance for a long-term extension. Position Summary: Join our dynamic team and take on a variety of complex administrative functions supporting all levels of management and external business partners. You'll manage schedules, coordinate travel arrangements, process business expenses, and provide general office support. This role also involves managing procurement of goods and services, coordinating meetings and events, and serving as the department contact. You'll complete special projects as assigned, contributing to a vibrant and efficient workplace. Primary Responsibilities/Accountabilities: Plan and coordinate domestic and international travel itineraries. Manage multiple calendars with a focus on accuracy, timeliness, conflict resolution, and alignment with leadership priorities. Ensure timely and accurate reconciliation of expenses within a 30-day policy. Provide timely approval of team expenses within 24 hours. Coordinate and provide logistical support for meetings and events, including All Hands, morale events, team training, and leadership offsites. Oversee team onboarding/offboarding processes, discretionary budget tracking, employee data maintenance, and security group ownership. Support team operations, including space management, office moves, new hire setup, and procurement of equipment and supplies. Handle sensitive and confidential information with professionalism. Ensure compliance with administrative operations policies and procedures. Provide onsite support for the team in Austin three days a week, with additional days as required. Attend leadership staff meetings, providing information and updates related to administrative areas. Track and manage discretionary budget, ensuring the team stays within allocation. Assist with deck preparation and provide necessary information for all-hands meetings. Update and manage distribution lists weekly. Plan morale events for various areas, including the Austin site and leader/team functions. Respond to ad-hoc team requests. Attend one-on-one meetings with managers and lead administration. Track and report team training compliance. Qualifications: Detail-oriented, especially in organization. Experience in onsite support. Proven calendar management and team support experience.
