We are seeking a highly organized and proactive Administrative Assistant to support our dynamic Bid Team. This role is pivotal in ensuring smooth coordination, documentation, and communication throughout the bidding process.

Job Responsibilities:

  • Organize, format, and maintain bid-related documents, templates, and presentations.
  • Arrange meetings, manage calendars, and coordinate internal and external communications.
  • Assist in ensuring bid submissions meet client requirements and internal quality standards.
  • Update and manage bid libraries, CRM systems, and tracking tools
  • Prepare reports, take meeting minutes, and handle general office tasks for the bid team.
  • Act as a point of contact between bid managers, subject matter experts, and external stakeholders.

Job Requirements:

  • Minimum Diploma in Business Administration or related field
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlyyook).

  • Strong organisational and multitasking skills.

  • Good written and verbal communication.
  • Ability to work under pressure and meet tight deadlines.
  • Initiative, positive thinker with a "Can-Do' attitude and willingness to learn
  • Familiarity with bid processes or proposal writing & experience in Built sector is a plus.
