Job Description
We are seeking a highly organized, proactive, Administrative and Personal Assistant with strong anticipation skills to support a busy professional managing both business projects and personal responsibilities.
This is a hybrid role that combines executive support with lifestyle management, ideal for someone who thrives in dynamic environments, adapts quickly, responds with urgency, and remains calm and effective amid constant change.
We’re looking for someone who blends professional precision with personal discretion, is comfortable with digital tools, and communicates clearly and confidently.
Administrative Support & Organization
- Inventory management, data entry, and managing shipping.
- Manage calendars, appointments, and reminders for both professional and personal activities.
- Maintain task lists, track deadlines, and ensure priorities are met.
- Prepare meeting notes, summaries, and follow-ups.
- Organize and maintain digital files, receipts, and documentation.
- Support hiring or onboarding tasks for collaborators or contractors.
- Assist with online orders, subscriptions, payments, and account management.
- Confidently use G-Suite tools (Google Docs, Sheets, Slides, Calendar) and independently research and resolve issues (“knows how to Google”).
Personal & Lifestyle Management
- Handle daily errands and personal tasks (shopping, pharmacy, deliveries, pet care, etc.).
- Coordinate household services (cleaning, maintenance, vendors).
- Manage recurring household tasks and responsibilities.
- Support relocation processes, housing searches, or home setup when needed.
- Organize business and personal travel, itineraries, and hospitality logistics.
- Plan and coordinate dinners, meetings, or small events.
- Research and recommend new restaurants, cultural events, galleries, or local experiences in Mexico City.
- Assist with selecting or purchasing outfits for events or meetings.
Requirements
To be successful in this role, you should have:
- Strong organizational skills with a proactive, self-sufficient working style and the ability to operate with minimal supervision.
- High adaptability and a solution-oriented mindset, with fast response times and clear, professional communication.
- Comfort working in dynamic, fast-changing environments and the ability to quickly learn new tools and workflows.
- Discretion, trustworthiness, and professionalism when handling confidential information.
- Excellent written and verbal communication skills in both English and Spanish.
- Strong attention to detail and the ability to anticipate needs before they arise.
- Familiarity with Mexico City, including neighborhoods, services, and points of interest (preferred).
- Previous experience as an Executive Assistant, Administrative Assistant, Management Assistant, or Personal Assistant.
