Job Overview

The Team assistant will support 3 Sales departments for OEM & HM’s with in total 12 Sales Teams. He/ She will be closely working with the 3 Leading Senior Managers to drive & coordinate the administrative landscape. Major roles and responsibilities are the following:

⦁ Preparation and update of Sales management reporting
⦁ Prepare and edit correspondence, communications, presentations and other documentation
⦁ Creation of management presentations and reports for internal and external usage
⦁ Task tracking and follow up of small daily business (i.e. action tracker, sprint board, weekly/ monthly routines).
⦁ Managing and organization of (Europe wide) meetings and events (i.e. Weekly calls)
⦁ Appointment schedule by planning and scheduling meetings, conferences, conference calls
⦁ Time and travel management as well as vacation planning & team attendance
⦁ Follow up HR topics: development plans, trainings, talent card 
⦁ Document and data management/ SharePoint/ Teams folder
⦁ Representation of ad hoc support

What your background should look like:

  • Certified management/office assistant or Bachelor´s degree in business administration/management
  • Professional Experience 5+ years in providing administrative support to Sales Leadership Team
  • Excellent verbal, written, interpersonal communication and customer service skills required 
  • Highly organized and detail-oriented 
  • High level of flexibility to conform to shifting priorities, demands and timelines
  • Excellent and advanced knowledge of computer, internet and software applications (MS Office, SAP PR2, Concur) Demonstrated ability to organize and multi-task, includes planning, scheduling and coordinating 
  • Ability to effectively prioritize and execute tasks in a pressurized environment 
  • Ability to effectively develop cohesive relationships with Sales Teams and other internal stakeholders
  • Fluent language skills in English and German (written and verbally); knowledge of additional languages is an advantage
