About Us:

We are a U.S.-based accounting firm seeking a highly organized and proactive Administrative & Scheduling Assistant to support our leadership team and client coordination efforts. This remote role combines scheduling, administrative support, and client communication to ensure smooth operations and excellent service delivery.

The ideal candidate is fluent in both English and Spanish, tech-savvy, detail-oriented, and thrives in a fast-paced remote environment.

Key Responsibilities:

Client Appointment Setting & Communication

  • Make outbound calls and schedule appointments with prospective and existing clients
  • Maintain and update client contact records in HubSpot
  • Send emails and follow-up emails to confirm meetings and share firm materials
  • Schedule a minimum of 50 outbound communications (calls/emails) per day

Administrative Support

  • Coordinate internal team calls and external meetings
