Job Title : California Electrical Permitting & Compliance Coordinator (Panel Upgrades) — Remote (India)

Role Summary

We’re hiring a remote (India-based) coordinator to own the end-to-end paperwork and administrative workflow for California electrical panel upgrades , ensuring every project is fully documented and compliant for AHJ permitting/inspections , utility requirements , and insurance + lender closeout packages . You’ll be responsible for keeping permits moving, inspections scheduled, and compliance documents complete—so projects never stall due to missing paperwork.


Key Responsibilities

1) California Permit Processing (AHJ Coordination)

  • Collect job intake details from field/PM teams: site address/APN (if needed), scope, service size (e.g., 100A/200A), panel location, photos, equipment cut sheets, and any required forms.
  • Prepare and submit permit applications across California AHJs (city/county building departments) via online portals/email/in-person proxy workflows (as required).
  • Track plan review status, corrections, resubmittals, fees, permit issuance, expiration dates, and required postings.
  • Maintain an accurate permit log by jurisdiction with turnaround times and common correction notes.

2) Inspection Scheduling & Closeout

  • Schedule inspections with AHJs and coordinate access details with homeowners/tenants/GCs.
  • Confirm inspection readiness (documents on site, posted permit, approved plans, photos required).
  • Obtain inspection results and final approvals; follow up quickly on failed inspections and re-inspection scheduling.
  • Close out permits and ensure final sign-off documentation is saved in the job file.

3) Utility Coordination Support (Meter Release / Service Work)

  • Support coordination with California utilities (as applicable) for service upgrades and reconnections.
  • Track required milestones (permit issuance, inspection approval, meter release) and ensure documentation is provided to the right party.
  • Maintain utility requirement notes by territory/service area (documentation, timelines, common issues).

4) Insurance & Lender Compliance Document Packages

  • Build and deliver complete compliance packages typically required for lender/insurance verification, including:
  • Permit card / permit record and issued permit documents
  • Inspection approvals and final sign-off
  • Contractor license info (CA CSLB details), COI, W-9 (if needed), invoice/paid receipt
  • Before/after photos, equipment specifications, scope-of-work completion letter
  • Respond to lender/insurer/escrow document requests with speed and accuracy.
  • Ensure documentation is audit-ready, consistent, and easy to retrieve.

5) Document Control & Admin Ops

  • Set up and maintain standardized digital job folders, naming conventions, and version control.
  • Update project systems (CRM / PM tools) with permit status, inspection dates, utility milestones, and closeout status.
  • Maintain templates/checklists: permit intake checklist, inspection readiness checklist, lender/insurance closeout checklist, completion letters, and email templates.
  • Ensure customer and project information is handled securely and per company policy.


Required Qualifications

  • 2+ years experience in construction admin , permitting coordination , trade operations , or compliance documentation (California permitting experience strongly preferred).
  • Strong English communication skills (email + phone) to coordinate with California AHJs, utilities, homeowners, and lenders/insurers.
  • Excellent attention to detail and comfort managing high volume (dozens of concurrent projects).
  • High proficiency with PDFs and documentation workflows (scan/merge, form completion, organized filing).
  • Able to work with overlap to California business hours (Pacific Time), at least 3–4 hours daily.


Preferred Qualifications

  • Familiarity with California AHJ permitting portals and common requirements for electrical service/panel upgrades.
  • Basic understanding of panel upgrade terminology (service size, meter/main, load calculations, grounding/bonding, breaker schedules).
  • Experience with tools like Google Workspace/Microsoft 365, Slack/Teams, and ClickUp/Asana/Trello, plus any CRM/field service platform.
  • Experience assembling compliance packages for lender/insurance/escrow workflows.

Work Arrangement

  • Remote (India).
  • Reliable internet + quiet workspace required.
  • Daily overlap with California (Pacific Time) business hours.
