Your Role in the Story
As our Cluster People & Culture Coordinator, you’ll be supporting in driving force behind shaping our teams and culture across two distinctive hotels. You’ll ensure that every aspect of the employee journey — from hiring and onboarding to engagement and wellbeing — reflects our values and contributes to both people and business success.

Key Responsibilities
- Coordinate the end-to-end recruitment for all roles, including individual hires and mass hiring, in line with business needs.
- Screen CVs, shortlist candidates, and manage communication throughout the recruitment process, internally and externally.
- Ensure role coverage during seasonal turnover and temporary absences.
- Deliver end-to-end onboarding for all new hires, covering mass onboarding events, inductions, training coordination, and property orientation, aligned with cluster standards and Cluster Director of P&C direction.
- Create, update, and manage the HR training library—training manuals, SOPs, and HR documentation—in collaboration with department heads to meet business needs.
- Support hands-on employee training during the season and pre-opening phases, coordinating logistics, tracking attendance, and maintaining training records in P&C archives.
- Assist employees in daily P&C-related needs, providing guidance and support as per business requirements, and as per defined policies.
- Support on the monitoring of daily attendance, check-in/check-out processes, and leave management; identify discrepancies and proactively report to the Cluster Director to ensure compliance and smooth communication across properties.
- Manage vacation requests and documentation in line with business needs.
- Oversee and deliver the end-to-end employee exit processes, ensuring policy compliance, proper documentation, and a structured exit lifecycle.
- Prepare and ensure support on accurate employee records and digital/physical archives, including contracts, vacation forms, payroll documentation, and compliance with labor regulations.
- Support payroll processes and timesheet management in alignment with legal requirements and Cluster P&C Director guidance.
- Coordinate accommodation, uniforms, staff cafeteria, transportation, and other operational logistics as directed by leadership and business needs.
- Support the implementation of recognition programs, wellbeing initiatives, and team-building activities to enhance employee engagement for the season and per P&C strategy.
- Assist with health, safety, and employee welfare compliance across the cluster, in alignment with the Cluster Director of P&C and the Health & Safety leader/occupational doctor. Maintain clean records as per action.
- Participate in operational needs during peak periods, special events, and property openings, ensuring adequate staffing and smooth execution.
- Support on the production of HR reports, dashboards, and analytics to track headcount, turnover, absenteeism, training completion, and other P&C needs.
- Maintain clean and organized archives for all employee records, including SOPs, training materials, contracts, and HR blueprints.
- Maintain employee benefits records and ensure confidentiality of all employee information and sensitive matters.
- Build and support the internal communication and community engagement by managing the “Lobby” communication tool, as directed by the Cluster Director of P&C.
- Support HR system implementation and ongoing maintenance, ensuring clean and accurate data per employee.
- Facilitate communication of HR news, policy updates, and organizational changes to all permanent and seasonal employees.
- Support the preparation and maintenance of job descriptions, contracts, job advertisements, and reference letters, as per departmental needs.
- Act as a brand ambassador for Taskworld, ensuring tasks are executed smoothly during pre-opening and guiding new team members on tool use.
- Ensure strict confidentiality, demonstrate strong professional judgment, and maintain a communicative, approachable, and supportive persona in all HR interactions.
- Act as a role model for company values, professional etiquette, and guest-focused service standards.
Qualifications
Who We’re Looking For
- Minimum of 4 years’ experience in HR or People & Culture roles within hospitality.
- Experience in supporting pre-opening hotels, F&B outlets, or seasonal properties.
- Strong understanding of hotel operations and workforce seasonal HR needs.
- Hands-on experience in recruitment, onboarding, training, and HR operations.
- Knowledge of or experience with Greek operating businesses, including understanding local Greek laws.
- Fluent in English.
- Eligible to work in EU countries.
- High level of confidentiality and professionalism.
- Excellent communication and interpersonal skills.
