Job Description Yuba College is seeking an equity-minded, dynamic, collaborative, and innovative employee to serve as the College Instructional Support Specialist.BASIC FUNCTION: Under the direction of the Dean of Instruction and Learning Resources, perform a variety of responsible, complex and technical support duties for the College Instructional Program including the maintenance of the college curriculum; analyze and assure compliance and integrity of the class file data; Monitor faculty load balances; provide technical assistance and training to administrative and instructional support staff users regarding the curriculum and scheduling components of the District administrative software program; coordination in preparation and dissemination of the College catalog and schedules; maintain history of faculty instructional assignments.DISTINGUISHING CHARACTERISTICS:The College Instructional Support Specialist reports to the Dean of Instruction and Learning Resources and exercises well developed knowledge and skills in the technical support of the College Instructional Program. The primary responsibility of this position is the coordination of activities, including curriculum changes related to the production of the College course catalog and schedule, to assure the integrity of the College class file database. The incumbent will be responsible for computer-based data analysis, report production, written communication and the ability to work independently. Essential Duties Summary REPRESENTATIVE DUTIES:Perform a variety of responsible, complex and technical support duties for the campus instructional program. (E)Assure integrity of data in both the College class and course file databases; audit initial input of class file data to assure compliance with District policies, state regulations and MIS reporting requirements; verify co-requisite course requirements and flex obligation data; review and correct information as necessary; make all subsequent additions, cancellations and modifications to the College class file database. (E)Modify and maintain the colelge catalog course data file including course equate codes, co-requisite course requirements, waitlist capability, course effective dates and status. (E)Maintain the College curriculum by coordinating and tracking the curriculum related documents from submission through District approval; assure compliance with District policy and State curriculum regulations; verify information and forward to District for final approval; maintain current knowledge of State regulations regarding curriculum issues. (E)Provide administrative support to college curriculum and scheduling committees as the liason between curriculum, schedule and catalog development using the course file record system databases. (E)Provide technical information, assistance and training to administrative and instructional support staff users regarding the curriculum and scheduling components of the administrative software; develop appropriate training materials. (E)Prepare downloads from the student information system suing a variety of computer interface tools. (E)
Prepare and maintain college full-time equivalent faculty (FTEF) data; analyze, prepare and provide FTEF allocations to instructional administrators, faculty and staff for planning of the College Instructional Programs as needed. (E)
Monitor and maintain the college course section waitlist capability and capacity. (E)
Develop and implement the College Class Schedule production calendar to assure timeliness and accuracy; prepare schedule assistance information; serve as liaison between the College and the District instructional programs. (E)
Facilitate and assist the administration and faculty in the planning and development of the class schedule; consult with faculty regarding the time and date of courses. (E)
Proof final versions of class schedule information; make subsequent additions, cancellations and modifications (E)
Prepare adjunct faculty handbook; assist with adjunct orientations (E)
Perform various clerical activities including independently composing correspondence, reviewing and responding to incoming mail, and related activities.(E)
Provide information and assistance in person or by telephone regarding assigned program, established practices, policies and procedures to faculty, staff, administrators, students and the public. (E)
Resolve room conflicts and coordinate campus classroom usage. (E)
Assist the administration with the recruitment and maintenance of the adjunct faculty hiring pool. Place job announcements, schedule interviews and coordinate appropriate follow-up. (E)
Coordinate hiring procedures and paperwork with adjunct faculty. (E)
Coordinate the processing of and maintaining the college records of faculty evaluations (E)
Perform various clerical activities including composing correspondence, reviewing incoming mail, and related activities. (E)
Serve as administrative liaison to adjunct faculty. (E)
Perform related duties as assigned.

Required Qualifications EDUCATION AND EXPERIENCE:
Any combination equivalent to an associate’s degree and two years of increasingly responsible experience in instructional administrative support.

Public Employee’s Retirement System (PERS): Employee contribution of 8% if PERs Member after year of 2013. If PERs Member before 2013, the employee contribution is 7.5%.
