About the Client:
The Client operates a residential construction business in Evansville, Indiana, specializing in roofing, gutters, and siding. The firm is actively growing (managing multiple projects per week) but the Owner is currently the bottleneck for operational growth. The firm needs to bring in a high-quality professional immediately to manage complex scheduling and coordination to prepare for the high season.
About the Role:
We are seeking a Full-Time Virtual Assistant to serve as a Project Manager and Operational Coordinator. This role is essential for replacing the Owner's time spent on coordination and ensuring projects remain on schedule. The VA must be able to drive operating procedures, create systems autonomously, and possess a high degree of critical thinking.
Key Responsibilities
1. Project Management & Scheduling
- Complex Scheduling:
Manage the schedule for all upcoming projects, which requires coordinating three distinct parties:
homeowners, local inspectors, and the construction crew
. - Materials Coordination:
Ensure
materials for upcoming projects are ordered
and coordinate with the material runner (boots on the ground) for timely delivery to crews (gutter, siding, and roofing). - Weather Adjustments:
Proactively
monitor the weather
and adjust the construction schedule accordingly, communicating changes to customers. - Customer Communication:
Serve as the primary contact for customers, keeping them informed of their position on the schedule list and any necessary adjustments. - Internal Communication:
Serve as the primary point of contact for the guys out in the field, responding to time-critical material requests.
2. Operational Efficiency & System Development
- System Creation:
Work with the Owner to
develop and drive operating procedures and create systems
for efficiency and growth. - Budget Support:
Provide information to the Owner regarding project costs and budgets. - Administrative Support:
Handle all low-dollar-per-hour administrative tasks. - Documentation & Tracking:
Maintain clear project logs, document all tasks, and ensure compliance with scheduling processes.
3. External Communication (Limited)
- Inspector Communication:
Handle complex scheduling communications with
local inspectors
, utilizing a passive and polite approach (as per client's best practices). - Customer Inquiries:
Handle basic, non-technical customer inquiries (e.g., location specifics, payment questions) primarily via phone, text or email.

Fluent, excellent English

Strong organizational and problem-solving skills to manage complex, multi-party coordination.
Technical & Experience
- Experience:
Proven experience in a similar
Project Management, Operations Management, or high-level coordination role
. - Industry Familiarity:
Experience in
construction, remodeling, roofing, or property maintenance
is highly beneficial - System Readiness:
Must have the necessary hardware (computer, headset, etc.) and software licenses (Microsoft Suite) to start immediately.
