Job Description
Bis Industries is seeking a Contracts Administration Lead to coordinate the effective administration of contracts within the business for our commercial team.
This role is responsible for ensuring contract administration activities are completed accurately, consistently, and in line with contractual, compliance, and reporting requirements. The Contracts Administration Manager witht he support of the commercial team, works closely with operational leaders and customers to support contract performance, manage risk, and ensure obligations are met.
The role is hands-on and operational, with accountability for contract reporting, audits, systems, and process improvement, and may include oversight of contract administration resources.
Key Responsibilities
Contract Administration & Reporting
Manage the contract administration function, ensuring contracts are administered in line with agreed terms. Coordinate contract reporting requirements, including contract meetings, reporting cycles, and record keeping. Ensure contract data is captured accurately within systems to meet internal and customer reporting requirements. Collate and maintain contract records, reports, and meeting documentation. Contract Compliance & Risk
Monitor contracts to ensure scope, reporting, and variation processes are being followed. Conduct contract administration reviews and audits to confirm compliance with contractual requirements. Identify and escalate contractual risks or issues to the Commercial Manager as required. Support the application of rise and fall and other contractual mechanisms. Subcontracts & Operational Support
Assist with the administration of subcontracts and support operational leaders with subcontract compliance. Support Profit Centre Managers with contract-related communications and documentation. Assist with managing variations, KPI reporting, and contract close-out activities. Systems, Process & Continuous Improvement
Maintain and improve contract administration systems, templates, and processes. Work with internal teams to improve data quality and reporting capability. Support training and guidance for operational teams on contract administration requirements. Contribute to continuous improvement initiatives within the Commercial function. Leadership & Collaboration
Build effective working relationships with internal stakeholders, customers, and external advisors. Promote a consistent and compliant approach to contract administration across the business.
About You
To be successful in this role, you will bring:
Demonstrated experience in contract administration or contract management within an operational environment. A sound understanding of commercial contracts, subcontract administration, and compliance requirements. Strong organisational skills with the ability to manage competing priorities and reporting deadlines. Clear, professional communication skills and the ability to work effectively with operational leaders. A practical, solutions-focused approach with strong attention to detail. Qualifications & Experience Tertiary qualifications in Business, Commerce, or a related discipline (desirable). Experience in mining, resources, or asset-intensive industries (advantageous but not essential). Why Bis?
