Job Summary:

The Coordinator (Examination) is responsible for the smooth planning, coordination, and execution of all examination-related activities. The role ensures timely conduct of examinations, accurate processing of results, and compliance with institutional and statutory examination policies while maintaining confidentiality and integrity throughout the examination process.

Key Responsibilities:

  • Coordinate the planning, scheduling, and conduct of internal and external examinations.
  • Prepare examination timetables, seating arrangements, and examination-related notices.
  • Coordinate with academic departments, faculty, invigilators, and external examiners.
  • Ensure adherence to examination rules, regulations, and standard operating procedures.
  • Manage examination logistics including question papers, answer scripts, attendance sheets, and evaluation records.
  • Handle pre-examination, during-examination, and post-examination activities.
  • Assist in result processing, compilation, verification, and publication as per timelines.
  • Maintain confidentiality and security of examination data and records.
  • Address student queries, grievances, and discrepancies related to examinations and results.
  • Prepare reports, MIS, and documentation related to examination activities.
  • Coordinate with IT and administrative teams for online/technology-enabled examinations, if applicable.
  • Support audits, inspections, and compliance requirements related to examinations.
  • Qualifications:

    Educational Qualification:

  • Bachelor’s degree from a recognized university.
  • Master’s degree will be an added advantage.
  • Professional Certifications:

  • Not mandatory; certifications in Examination Management, Academic Administration, or ERP/Student Information Systems will be an added advantage.
  • Professional Experience:

  • Minimum 5 years of relevant experience in examination coordination, academic administration, or a similar role in an educational institution.
  • Skills and Competencies:

  • Strong organizational and coordination skills.
  • High level of accuracy, attention to detail, and confidentiality.
  • Working knowledge of examination processes, academic policies, and regulations.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and examination/academic ERP systems.
  • Ability to work under strict deadlines and manage multiple activities simultaneously.
  • Good communication and interpersonal skills.
  • Problem-solving ability and capability to handle sensitive situations professionally.
  • Ability to work independently and as part of a team.
