The Role


We are seeking a Program Coordinator to support our Program Management team across multiple defence programs. This role is ideal for an organised, proactive professional with strong project coordination experience who enjoys working in a structured, fast-paced environment.

Reporting to Program Managers, you will assist with day-to-day program execution, administration, reporting, and coordination activities, ensuring contractual, schedule, cost, and quality objectives are met.

Key Responsibilities

  • Support the administration and execution of programs in accordance with contractual requirements, company policies, and procedures
  • Establish and maintain program folders and repositories, ensuring effective document control and tracking
  • Assist Program Managers to ensure contracts are delivered efficiently and profitably
  • Support program execution to achieve technical performance, cost, and schedule objectives
  • Monitor program activities across the full lifecycle, including proposal development, design, procurement, subcontracting, testing, delivery, installation, and acceptance
  • Prepare and support monthly status reports, Program Management Review (PMR) materials, and internal briefings
  • Provide meeting logistics support, including agenda preparation, minutes, action item tracking, and coordination of attendees
  • Track and monitor Action Items (AIs) and support their timely closure
  • Support early or on-time delivery of all required program documentation (e.g. CDRLs)
  • Perform financial management support tasks, including invoice generation, SAP administration, and preparation of cost estimation inputs
  • Assist with risk management reporting and escalation of issues to Program Management with sufficient lead time
  • Support proposal development activities, including Statements of Work (SOWs), specifications, subcontract coordination, and responses to Requests for Proposal (RFPs)
  • Coordinate with cross-functional teams to gather inputs and ensure timely and high-quality proposal submissions

  • Perform other reasonable duties as required

About You


Qualifications (Essential):

  • Certificate or Diploma in Project Management or a related discipline, or equivalent practical experience

Skills, Experience & Knowledge (Essential):

  • 4–6 years' experience in project administration or coordination roles
  • Experience with demand management and schedule management
  • Working knowledge of SAP
  • Strong understanding of project management processes and tools
  • Proficient user of SharePoint, MS Project, and the Microsoft Office suite (Word, Excel, PowerPoint, etc.)
