Job Description

The Coordinator, Programming & Placemaking provides essential administrative, logistical, and coordination support to the Programming & Placemaking team. This role helps deliver high-quality cultural programming, community activations, and public-space experiences at Northcrest. Working closely with the Director and Associate Producer, the Coordinator supports artist and partner contracting, daily programming operations, and cross-departmental collaboration to ensure smooth execution of all interim and long-term placemaking initiatives.The position is offered on a full time contract until December 2026, with an opportunity for extension

Salary Range: $65,000 - $70,000 per annum

Key Responsibilities

Producing & AdministrativeSupport

  • Support the management and tracking of program budgets,contracts, NDAs, POs,invoices, and financial documentation.
  • Help create and manage work-back schedules, timelines, and deliverables for events.
  • Coordinate with internal departments (marketing, operations, public affairs, etc.) to ensure seamless execution of programs.
  • Support preparation and submission of event permits, ensuring compliance with all bylaws and regulations.
  • Assistin developing andmaintainingsystems that promote positive, accessible, and well-managed public experiences.

Event & Site Operations Support

  • Support day-to-day operations of internally programmed zones, including scheduling, reporting, and liaising with on-site staff.
  • Helpmaintainstandards, policies, and operational procedures to ensure a high-quality public experience.
  • Assistwith financial tracking and administrative workflows for internally programmed zones.
  • Coordinate and execute key communication and promotional initiatives alongside the Marketing and Communications team to ensure a positive and cohesive visitor experience journey.
  • Support the planning, coordination and onsite execution of third-party rentals and events, as well as Northcrest-led programming that advances community engagement, public affairsinitiatives, businessdevelopmentand stakeholder relations
  • Attend key events and activations asrequired.

Programming Support

  • Assist the Director and Associate in developing short-term programming plans for Northcrest-led site activationsby supporting programs that drive traffic to the site and enrich the local community and broader city.
  • Coordinate updates to the programming calendar, ensuring schedules, deliverables, and internal needs areaccurateand up to date.
  • Support the curation and contracting of artists, animators, vendors, and activators,assistwith RFP/RFQ processes for procurement.
  • Maintain partnership documentation and support execution of co-produced or collaborative programming initiatives.

Qualifications

  • Up to3 years of experience in event programming, event production, public-space management, facility operations, placemaking, or a related field.
  • Bachelor’s degree in a relevant discipline (e.g., Arts Management, Event Management, Urban Studies, Cultural Studies, Recreation, Communications)preferredor an equivalent combination of education and experience.
  • Experience coordinating events, cultural programs, partnerships, or community activations.
  • Familiarity with event permitting, contracting, insurance, and vendor coordination considered an asset.
  • Proficiencywith standard office software (e.g., Microsoft Office, Google Workspace); experience with project management or scheduling tools is an asset.
  • Detail-oriented with strong organizational skills and the ability to manage multiple deadlines simultaneously.

  • Positive, proactive attitude with a collaborative mindset and willingness to support team members.
  • Strongverbal and written communication skills , with the ability to communicate clearly with internal teams, artists, partners, and the public.
