Job Description -
The position holder will primarily act for managing the Coupa Procurement System, with a strong focus on the Contracting and Sourcing modules. The role is responsible for end-to-end system maintenance, support, compliance, and operational excellence of the Coupa platform.
Key Skills & Competencies
- Strong hands-on experience with Coupa system administration, specifically Contracting and Sourcing modules
- Good understanding of end-to-end procurement processes
- Knowledge of ITIL processes (Incident, Change, Problem Management)
- Experience working with Service Now or similar ITSM tools
- Understanding of Gx P guidelines, compliance, and regulated environments
- Strong stakeholder management and communication skills
Roles & Responsibilities
System Administration & Support
- Perform maintenance, monitoring, and operational support of the Coupa Procurement System
- Manage and resolve incidents, changes, and problems related to Contracting and Sourcing modules, ensuring quality and timely resolution
- Support year-end sourcing activities and ongoing sourcing requirements ITIL & Service Management
- Handle incidents, service requests, changes, and problems in alignment with ITIL best practices
- Ensure proper documentation, tracking, and closure of tickets via Service Now
- Conduct regular review meetings with Lines of Business (LOBs) to address incidents and recurring problems Compliance, Controls & Audits
- Ensure monthly and quarterly controls are executed accurately and on time
- Actively participate in Sarbanes-Oxley (SOX) audits and provide required evidence
- Ensure system audit readiness and compliance with internal and external audit requirements Gx P & Regulatory Compliance
- Ensure smooth operations of Coupa–Docu Sign Gx P integrations in compliance with Gx P guidelines and regulatory standards
- Collaborate closely with Quality Assurance (QA) to maintain required Gx P documentation
- Deliver Gx P requirements for all applicable audits and inspections
- Maintain system compliance from an audit readiness perspective
- Attend mandatory Gx P trainings and complete SOP reviews and acknowledgements at defined intervals
Stakeholder Collaboration
- Work closely with business users, QA, IT, and vendors to ensure system stability and continuous improvement
- Provide functional guidance and support to users on Contracting and Sourcing processes
Experience & Qualifications
- Bachelor’s degree in IT, Engineering, Business, or a related field
- 3–6 years of experience in Coupa system administration or procurement systems support
- Experience working in a regulated (Gx P) environment is highly preferred
- Exposure to pharmaceutical or life sciences industry is an advantage
