We are seeking a highly skilled and proactive Executive Assistant to support a senior leader in managing strategic, administrative, and analytical responsibilities. This role goes beyond traditional calendar and travel coordination—requiring strong business acumen, exceptional analytical capabilities, and the ability to create high-impact presentations.

Key Responsibilities:

Executive Support & Coordination
  • Manage the leader’s calendar, meetings, appointments, and travel with precision and confidentiality.
  • Serve as an effective liaison between leadership and internal/external stakeholders.
  • Track action items, follow-ups, and priorities to ensure smooth workflow.
  • Prepare meeting agendas, coordinate logistics, and create minutes with clear action trackers.
Business Analytics & Reporting
  • Analyze business data and extract insights to support leadership decisions.
  • Create dashboards, KPIs, business review decks, performance reports, and forecasting models.
  • Coordinate with cross-functional teams to gather and verify business data.
Presentation & Documentation
  • Design high‑impact presentations, pitch decks, and executive summaries.
  • Convert complex information into clear, compelling visual formats.
  • Draft professional communication and documents on behalf of leadership.
Legal & Compliance Support
  • Review, understand, and summarize legal documents, agreements, MoUs, NDAs, vendor contracts, and policy documents.
  • Coordinate with internal legal teams for approvals, clarifications, and document tracking.
  • Ensure documents adhere to organizational compliance requirements.
Project Coordination
  • Support strategic initiatives from planning to execution.
  • Maintain project timelines, track deliverables, and escalate risks when needed.
  • Prepare project updates and reports for leadership review.
Administrative Excellence
  • Organize confidential records, documentation, and files.
  • Handle expense reports, procurement requests, and other administrative tasks.
  • Improve operational processes to enhance efficiency.
Required Qualifications
  • MBA degree from a recognized institution (mandatory).
  • 8+ years of experience as an Executive Assistant, Business Analyst, or similar hybrid role.
  • Strong command over MS Office Suite (Excel, PowerPoint, Word), data visualization tools, and analytics.
  • Excellent communication—written, verbal, and interpersonal.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Ability to maintain discretion and confidentiality always.

Preferred Skills

  • Experience with productivity tools (Notion, Asana, Trello, Jira, etc.).
  • Exposure to data tools (Power BI, Tableau, Google Data Studio).
  • Ability to handle ambiguity and work independently with minimal supervision.
  • Creative thinking and problem-solving mindset.

Requirements

Key Responsibilities: Develop detailed project plans, including defining the scope, objectives, timeline, budget, and resource allocation for the AMISP project. Establish project goals, milestones, and deliverables, ensuring they align with both business and client objectives. Monitor and track project progress, ensuring that activities stay on schedule, within budget, and meet quality standards. Identify potential project risks and issues and develop strategies to mitigate their impact on the project’s timeline and deliverables. Regularly communicate with stakeholders to provide status updates, report on risks or issues, and suggest corrective actions when necessary. Coordinate resources, including personnel, equipment, and materials, ensuring optimal use of assets to achieve project success. Build and maintain strong relationships with clients, vendors, and key stakeholders to promote collaboration and ensure alignment with project goals. Develop and manage the project budget, ensuring that expenses are monitored and controlled within the approved limits. Track and control any changes to the project scope, ensuring they are documented, reviewed, and approved through formal change control processes. Ensure that all project deliverables meet quality standards, client expectations, and regulatory requirements. Proactively address conflicts or challenges within the project team or with external stakeholders to keep the project on track. Manage project documentation, ensuring that records of project decisions, changes, and milestones are organized and accessible. Facilitate regular project meetings, including status updates, risk assessments, and issue resolution discussions with the project team and stakeholders. Ensure effective communication across all project stakeholders, facilitating clear and transparent information flow at all project stages. Provide leadership and motivation to the project team, fostering an environment of focus, productivity, and enthusiasm for project goals. Track and report on key project performance metrics, including cost, time, quality, and resource utilization, to ensure continuous improvement and effective project delivery. Qualifications: Bachelor’s degree in Engineering, Project Management, or a related field (Master's degree is a plus). Proven experience (10+ years) in project management, ideally in the AMISP or infrastructure sector. Strong knowledge of project management methodologies, tools, and techniques. Excellent leadership, communication, and interpersonal skills, with the ability to lead diverse teams and collaborate with various stakeholders. Proficient in project management software and tools (e.g., Microsoft Project, Primavera, etc.). Ability to manage budgets, timelines, resources, and risks effectively. Strong problem-solving skills and the ability to manage multiple priorities in a fast-paced environment. Experience in managing large-scale infrastructure or technical projects is preferred.
