Position Overview:

This position will support the Student Life department in delivering a high-quality student experience at CIEE Barcelona. The role involves assisting with the planning and execution of student activities, cultural events, day trips, and arrivals. The Student Life Assistant will also play an active role in communication and marketing initiatives to ensure clear, engaging, and effective outreach to students and partners. The position requires a proactive and detail-oriented individual with excellent communication and organizational skills. 

Key Responsabilities

Communication

  • Assist in creating and implementing the social media content calendar (Instagram and Linkedin) by bringing fresh ideas, gathering relevant materials, editing videos, editing creative posts, managing the community.
  • Create and implement communication materials such as newsletters, handouts, and Eventbrite events.
  • Work with the Student Life Manager to maintain clear and effective communication with students regarding activities, trips, and important updates.
  • Provide support in the definition of the marketing plan of CIEE Barcelona and implement marketing actions like paid advertising campaigns (Social and Google ads), the production of marketing collateral (flyers, one-pagers), and organic social media management

Events & cultural activities

  • Assist in managing logistics for trips and activities, including booking suppliers, transportation, and venues.
  • Collaborate with the Student Life Manager in developing and executing the agenda for semester activities and day trips that align with the learning objectives of various programs.
  • Help monitor expenses to ensure activities stay within budget and assist with managing supplier invoices in collaboration with the administrative team.
  • Provide support, when required, for corporate and student-focused events, ensuring their effective organization and execution to deliver meaningful and enriching experiences
  • Provide support to logistics for students' arrivals, including airport pick-up and transfer to accommodations, while also managing venue rentals, catering, and setup for orientation sessions.

Front Desk / Reception Management

  • Half of your working hours will be at reception. You'll be the friendly face greeting and helping students, faculty, visitors, and staff. You'll filter student questions before passing them to coordinators, answer and redirect phone calls and communications, handle mail and packages. Provide general services support such as maintenance and classroom management and other duties required when needed.

What you'll bring:

  • Studies in RRPP, Marketing or Communications.
  • Skilled in social media management and content creation, with additional experience in event organization
  • Fluency in Catalan, Spanish and English (English level should be at least C1).
  • Excellent oral, written, and interpersonal communication skills.
  • Strong computer skills: familiar with Microsoft Office Suite, Canva, Adobe, Final Cut.
  • Ability to handle multiple ongoing tasks and prioritize appropriately.
  • Flexible and able to respond quickly to changing circumstances. Must have a high tolerance for ambiguity.
  • Ability to work effectively in a collaborative team environment.
  • Commitment to customer service and professionalism.
  • Demonstrated integrity, self-motivation, and a proactive, "can-do" attitude.
  • Ability to apply good judgment under pressure and to make reasoned and informed decisions in sensitive situations.
  • Availability to travel on student day trips on some weekends and during some evenings when required.

  • Schedule: Monday to Thursday :30 to 17.30h-19:30h (this will be determined during the selection process) and Friday 8.30h to 14.30h.
