Qualifications and Skills
- Proven experience in Human Resources with an ability to manage sensitive matters with a high level of confidentiality.
- Strong skills in travel coordination to manage executive travel plans, including booking flights and accommodations.
- Exceptional communication skills, both written and verbal, to effectively liaise with internal and external stakeholders.
- Proficiency in calendar management, ensuring executives are aware of scheduled meetings and deadlines.
- Adept at meeting planning, organizing agenda, materials, and ensuring meetings are effective and productive.
- Strong problem-solving skills to assist in overcoming administrative and operational challenges.
- Experience in vendor management, coordinating with suppliers and service providers for office-related services.
- Compliance driven with an understanding of confidentiality, ensuring sensitive information remains secure.
Roles and Responsibilities
- Provide direct administrative support for executives, managing calendars, appointments, and email correspondence.
- Coordinate and manage executive travel arrangements, including itineraries and logistics.
- Prepare reports, presentations, and other documents as required, ensuring accuracy and timeliness.
- Liaise with stakeholders, scheduling meetings, and ensuring agendas and minutes are circulated promptly.
- Manage and oversee vendor contracts, monitoring service level agreements to ensure quality performance.
- Maintain and update confidential administrative systems, ensuring data integrity and security.
- Facilitate internal and external communications, contributing to the smooth operation of office activities.
- Assist in implementing administrative improvements to enhance operational efficiency and effectiveness.
