Job Description

Responsibilities


  • Assists executives with their daily administrative duties and completes a broad variety of administrative tasks.
  • Responsible for the detailed calendar management of executives.
  • Communicates with the general staff on the executives' behalf and coordinates logistics for high-level meetings both internally and externally.
  • Schedules and coordinates meetings and strategic activities with Senior Leadership Team members and other staff members as requested by the Executives.
  • Drafts reports, letters, presentations and other documents as required.
  • Supports executives in their external commitments including participation/seats on external boards, committees and other groups. This includes booking required travel, ground transportation and accommodations.
  • Special projects as requested.
  • Facilitate easy communication and access to the whole team.
  • Perform other duties as required.
  • Qualifications

  • Highly proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, together with experience in social media platforms
  • Very strong interpersonal skills and the ability to build constructive relationships with stakeholders, including executive leadership, board members, and external partners
  • Expert-level written and verbal communication skills
  • Highly resourceful team player, with the ability to function independently
  • Proven ability to handle highly confidential information with discretion
  • High energy contributor: one who thrives to support the executive team, including the flexibility to respond during off-hours when executives are traveling or preparing for important meetings
