About the Client:
We are a fast-growing tech enabled residential cleaning company currently operating locally, with a long-term vision to scale nationwide. Over the past year, the business has doubled in size, and we are now seeking a highly capable, proactive Virtual Assistant to support the founder and help bring structure, organization, and execution to daily operations.
This role is ideal for someone who is excited to help build and scale a business, not just complete tasks.
About the Role:
We are looking for a reliable, detail-oriented, and growth-minded General Virtual Assistant who will function as a "mini-me" to the founder. You will support daily operations, marketing, lead follow-ups, CRM management, and administrative tasks while gradually taking on higher-level responsibilities as you grow into the role.
This is not a static role. As the business scales, your responsibilities and skill set will expand through training, education, and hands-on experience.
Key Responsibilities
Operations & Administrative Support
- Organize daily priorities, tasks, and workflows for the founder
- Assist with calendar management, task tracking, and general admin duties
- Monitor business systems and flag issues (e.g., automation or CRM errors)
CRM & Lead Management
- Follow up with inbound leads via phone, email, and SMS
- Manage and update CRM records accurately
- Ensure no leads fall through the cracks
- Assist with customer communications and service follow-ups
Phone & Client Communication
- Confidently handle phone calls with leads, clients, and internal team members
- Educate potential customers about services and next steps
- Assist with scheduling, coverage coordination, and issue resolution when needed
Marketing & Growth Support
- Assist with email campaigns and customer outreach (e.g., seasonal or end-of-year campaigns)
- Support marketing initiatives and basic funnel-building efforts
- Help identify gaps or opportunities in marketing and client communication
Team & Scheduling Support
- Assist with coverage coordination when cleaners call out
- Identify available team members and help fill schedule gaps
- Work closely with the owner and future field managers
Continuous Improvement
- Learn new tools, systems, and skills over time (funnels, automations, marketing tools, CRM workflows)
- Participate in ongoing training and professional development
- Take initiative to improve systems, processes, and documentation
Qualifications & Skills
- Fluent spoken and written English
- Confident and professional on the phone
- Strong organizational and time-management skills
- Comfortable working with CRMs and digital tools
- Basic understanding of sales, marketing, or customer service
- Proactive, dependable, and detail-oriented
- Ability to problem-solve independently and ask smart questions
Preferred (But Not Required)
- Experience with CRM systems (e.g., GoHighLevel or similar)
- Experience with email marketing or funnel tools
- Operations or executive assistant experience
- Background in service-based businesses
