Your Role: Executive Assistant Coordinator


This is a foundational role designed for a highly organized, proactive, and reliable professional seeking to build a career in executive support and business coordination. You will be the operational right hand to our leadership team, ensuring the smooth flow of information, priorities, and schedules across time zones. This position offers a unique opportunity to develop a deep understanding of how a global company functions from the inside, gaining invaluable experience in administration, project coordination, and cross-team communication.


You will start by mastering core support tasks with precision. As you demonstrate competence and autonomy, your responsibilities will naturally expand to include more complex coordination and operational projects. Success in this role requires a service-oriented mindset, exceptional attention to detail, and the discipline to excel in a remote setting.


Tasks


Executive & Administrative Support:



  • Proactively manage complex calendars for leadership, scheduling internal and external meetings across multiple time zones.

  • Prepare meeting agendas, briefing documents, and concise summaries to ensure leaders are well-prepared.

  • Track action items and decisions from meetings, ensuring clear follow-up and accountability.


Coordination & Operational Rhythm:



  • Serve as a central coordination point for information flow between the leadership team and other departments.

  • Monitor and help track key deadlines, project milestones, and priority initiatives.

  • Support the consistent execution of leadership-driven actions and strategic priorities.


Documentation & Process Support:



  • Create and maintain impeccably organized digital filing systems for documents, reports, and shared resources.

  • Draft, format, and proofread internal and external communications, reports, and presentations.

  • Identify and contribute to opportunities for improving administrative and operational workflows.


Financial & Logistical Assistance:



  • Assist with basic budget tracking, expense report coordination, and invoice follow-up.

  • Support internal operational processes, such as onboarding coordination and internal event planning.


Requirements


Mandatory Requirements:



  • Bachelor’s degree in Business Administration, Management, Communications, or a related field.

  • Studies must be fully completed. This is not a position for current students.

  • 1-2 years of experience in an administrative, coordination, or executive support role is a strong asset. Motivated recent graduates with relevant internship experience are also encouraged to apply.

  • Full professional proficiency in English (C1 level) – both written and verbal, as it is the primary language of business.

  • French proficiency is a significant advantage.

  • A reliable, professional-grade home office setup in Lebanon with high-speed internet.
