Job Description

Role Overview

The Executive Assistant will provide high-level administrative and operational support to senior leadership, ensuring seamless coordination across office, site teams, vendors, and clients. This role demands discretion, agility, and strong organizational skills in a fast-paced project environment.

Key Responsibilities

  • Calendar & Meeting Management

    Manage schedules, appointments, and travel plans for senior leadership

    Coordinate internal and external meetings, site visits, and vendor interactions

  • Communication & Liaison

    Act as the primary point of contact between leadership and internal/external stakeholders

    Draft, review, and manage correspondence, reports, and presentations

  • Project Coordination Support

    Assist in tracking project milestones, documentation, and follow-ups with site teams

    Maintain records of project updates, vendor communications, and client interactions

  • Administrative Oversight

    Handle confidential information with integrity

    Support procurement, HR, and finance teams with documentation and approvals

  • Reporting & Documentation

    Prepare MIS reports, meeting minutes, and executive summaries

    Organize and maintain digital and physical filing systems

  • Qualifications

  • Graduate/Postgraduate in Business Administration or related field.

  • Prior experience supporting CXO/Director-level executives

  • Strong command of MS Office Suite (Excel, PowerPoint, Outlook)

  • Excellent written and verbal communication skills

  • Familiarity with real estate or construction project workflows is a plus.
