Job Description: Executive Assistant (Female)*

## *Position Overview*We are seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative support to senior management. The ideal candidate will be detail-oriented, possess excellent communication skills, and demonstrate the ability to handle confidential information with discretion.---

## *Key Responsibilities*### Administrative SupportProvide high-level administrative support to the Executive/Senior Management

Manage and maintain executive calendars, schedule appointments, and coordinate meetings

Arrange domestic and international travel, including flights, accommodations, and itineraries

Prepare agendas, presentations, reports, and correspondence as required

Handle incoming calls, emails, and correspondence on behalf of the executive

Screen and prioritize communications, ensuring timely responses

### Meeting & Event CoordinationOrganize and coordinate internal and external meetings, conferences, and events

Prepare meeting materials, take minutes, and follow up on action items

Arrange refreshments, book venues, and manage logistics for meetings

Coordinate with various departments to ensure smooth execution of events

### Documentation & Record ManagementMaintain organized filing systems (both physical and digital)

Prepare, edit, and proofread documents, presentations, and reports

Handle confidential documents and sensitive information with discretion

Maintain accurate records of expenses, invoices, and reimbursements

### Communication & LiaisonAct as the primary point of contact between executives and internal/external stakeholders

Build and maintain positive relationships with clients, vendors, and partners

Communicate effectively on behalf of the executive when required

Coordinate with different departments to facilitate smooth workflow

### Office ManagementManage office supplies and ensure availability of necessary resources

Oversee vendor relationships and coordinate with service providers

Handle personal tasks and errands for the executive as needed

Ensure the executive's workspace is organized and well-maintained

### Project SupportAssist with special projects and research assignments

Track project timelines and deadlines

Compile data and prepare reports for management review

Support business development activities as required---

## *Required Qualifications*### EducationBachelor's degree in Business Administration, Management, or related field (preferred)

MBA or relevant postgraduate qualification is an advantage

### Experience3-5 years of experience as an Executive Assistant, Personal Assistant, or similar role

Experience supporting C-level executives preferred

Background in corporate or professional services environment is a plus

### Skills & Competencies*Technical Skills:*

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)

Experience with calendar management tools and scheduling software

Familiarity with video conferencing platforms (Zoom, MS Teams, Google Meet)

Basic knowledge of presentation and document design

Typing speed of 40+ WPM with accuracy

Requirements
Proven experience in handling end-to-end Power BI projects. Strong experience in requirement gathering, documentation (BRDs), and wireframing. Hands-on expertise in data mining and representation through Power BI. Ability to communicate with potential stakeholders and explain insights effectively. Familiarity with position mapping and its business implications. Strong analytical and problem-solving skills
