Welcome to SparkPath! We’re a creative startup in the education space , on a mission to help people discover meaningful careers. As a tiny team of three , every role here is pivotal. We’re looking for an Executive Assistant who will be a trusted partner to our Founder, JP Michel.


In this role, you’ll be the backbone of our small team, managing routine administrative tasks, anticipating needs, and providing proactive support. You’ll handle billing, customer emails, shipping, and other admin duties, while also preparing briefs and refining our existing systems. Your goal is to free up the Founder’s time so he can focus on driving our mission forward.

What You’ll Be Doing in This Role
  • Routine Administrative Support (50–80%) : Manage billing and invoicing in QuickBooks Online (QBO), handle customer service emails, oversee shipping and fulfillment, and keep our admin processes running smoothly.
  • Proactive Executive Support : Anticipate the Founder’s needs, create briefs for upcoming decisions, and act as a gatekeeper for his time and attention. Your goal is to ensure he can focus on high-value strategic work without being bogged down by routine tasks.
  • System Management & Improvement : Understand and maintain our existing operational systems (QBO, CRM, shipping workflows). You may tweak or refine these systems over time, but you won’t need to create new ones from scratch.
  • Problem Solving & Care : This role is about more than tasks — it’s about being a supportive presence who cares about making the executive’s workload lighter and more manageable.

Necessary Skills
  • Experience in executive or senior administrative support roles.
  • Familiarity with tools like QBO, GSuite, and CRM systems.
  • Strong written and verbal communication skills in English (French is an advantage).
  • A proactive mindset and the ability to think ahead and prepare for the unexpected.
  • A “can-learn” attitude for any tools or processes that may be new to you.

You’ll be a key support to the Founder, ensuring that he can continue to drive the mission forward while you handle the operational details and provide that crucial layer of proactive care.


Location & Work Environment

While we’re based in Ottawa, Ontario, Canada, this position is remote-friendly. You can choose to handle shipping from our Ottawa office or from your home, and you’ll need to be available between 8 am–4 pm EST. The role is about 35 hours per week, with some flexibility. For the right candidate, this position could be done part-time.
