Role Purpose
The Executive Assistant (EA) provides high-level, confidential and proactive support to the General Manager of the Bombardier Aerospace Service Centre in Singapore. The role is critical in ensuring smooth executive operations, effective stakeholder coordination, and professional execution of leadership, communication and engagement activities in a regulated aerospace MRO environment.
The EA acts as a trusted gatekeeper, coordinator and liaison, supporting the GM in managing priorities, communications and site-level initiatives while maintaining discretion, accuracy and operational awareness.
Key Responsibilities
1. Executive & Calendar Management
Manage the GM’s complex calendar, appointments and reminders across local and international time zonesProactively plan and coordinate domestic and international travel itineraries, including flights, accommodation, transport and meeting schedulesAnticipate scheduling conflicts and resolve priorities independently where appropriate 2.Executive Communications & Liaison
Manage the GM’s email and correspondence, drafting professional communications on behalf of the GM when requiredAct as the first point of contact for internal stakeholders and international Bombardier officesLiaise confidently with senior leaders, visitors and external partners while maintaining discretion 3. Meetings, Presentations & Documentation
Organise executive and leadership meetings including: Agenda preparationPresentation slide supportMinutes taking and action tracking (where required) Ensure meeting rooms are booked and set up professionally including: Audio-visual readinessCatering arrangements (coffee/tea, refreshments, cutlery, etc.) 4. Site & Executive Events Coordination
Plan and facilitate internal and external engagement events including: Employee All HandsLeadership briefingsWomen-in-Aviation eventsCustomer, OEM and CJI visits Coordinate closely with relevant teams to ensure: Security clearancesDeclaration and compliance formsVisitor access requirements are completed in advance 5. Awards, Recognition & Employee Engagement Support
Act as liaison for: RMP / CREDO recognition programmesLong Service Awards Coordinate annual photo sessions for award recipientsManage the ordering of pins, certificates, and recognition materialsSupport the presentation of awards during Quarterly All Hands or leadership events 7. Marketing & Administrative Support
Support the Marketing team with administrative tasks such as: Receiving brochures or materialsCoordinating merchandise orders Act as a reliable administrative interface between leadership and support functions 8. Organisational & Records Management
Maintain and update the monthly organisational chart in the Management folderEnsure documents are version-controlled and stored appropriately 9. Procurement & Vendor Coordination
Raise Purchase Requisitions (PRs) for approvals in accordance with company proceduresSupport the creation of new vendor/supplier codes when requiredFollow up on approvals and documentation to ensure timely processing 10. General Administration & Ad-hoc Support
Arrange business cards upon requestProvide ad-hoc administrative support as assigned by managementServe as backup for Reception duties when required, ensuring continuity of front-office operations Key Competencies & Skills
Strong organisational and time-management skills with high attention to detailExcellent written and verbal communication skillsHigh level of discretion and confidentialityAbility to manage multiple priorities in a fast-paced, regulated environmentConfident stakeholder management across seniority levels and culturesProficient in Microsoft Office (Outlook, PowerPoint, Word, Excel)Comfortable working with enterprise systems and portalsPossess knowledge of core AI and automation tools for common office tasks. Minimum 6–8 years of experience as an Executive Assistant or Senior Administrative Assistant, preferably supporting senior leadershipExperience in aviation, engineering, manufacturing or regulated industries is an advantagePrior exposure to multinational or matrix organisations preferred Personal Attributes
