The Executive Assistant to the Founder is an execution-driven operations role that supports the Founder across multiple parallel workstreams. These include AI product initiatives, digital marketing projects, trainings and workshops, and internal programs.
This role focuses on operational continuity, task tracking, documentation, follow-ups, and coordination . It is not a strategy or advisory position. Success in this role comes from discipline, clarity,
Requirements
Key Responsibilities
1. Multi-Project Task & Timeline Management
- Maintain structured task trackers across all active initiatives
- Track ownership, deadlines, dependencies, and progress
- Set follow-up schedules and escalation checkpoints
- Proactively identify delays, blockers, and delivery risks
2. Daily Execution Updates & Stakeholder Coordination
- Prepare and share daily execution status updates
- Follow up with:
- Clients and client-side stakeholders
- Internal team members, interns, and partners
- Track pending inputs, approvals, and deliverables
- Escalate issues requiring Founder intervention in a timely manner
3. Documentation Ownership
- Maintain accurate and up-to-date documentation using Google Workspace
- Capture plans, decisions, task lists, and updates in structured formats
- Convert verbal discussions and informal messages into clear written records
4. Intern & Junior Resource Coordination
- Assign tasks to interns based on approved plans
- Clearly communicate scope, timelines, and expected outcomes
- Track execution quality and flag concerns early
5. Communication Monitoring & Escalation
- Monitor WhatsApp groups and key communication channels
- Identify urgent or time-sensitive requests
- Filter routine communication from high-priority matters
- Escalate only critical issues to the Founder
6. Weekly Review & Planning Support
- Prepare structured summaries for weekly reviews, covering:
- Progress updates
- Pending items
- Risks and blockers
- Upcoming deadlines
- Update task trackers and documentation after review discussions
7. Operations & Data Support
- Support scheduling, reminders, and coordination across projects
- Assist with logistics for trainings and workshops
- Maintain internal trackers, databases, and records with high data accuracy
Tools & Platforms
- Google Docs, Sheets, Drive, Calendar
- Task management tools (Notion, Google Sheets)
- AI productivity tools (ChatGPT, Gamma, research tools)
- Microsoft Excel and PowerPoint

- 2–4 years of experience in executive assistance, operations, project coordination, Founder’s Office, startup, or agency environments
- Prior exposure to founder-led or early-stage teams is a strong advantage
