Council Members are the Chairs, Presidents, and Chief Executives of the world's leading private sector Travel & Tourism businesses.
Alongside our Council Members and Board of Vice-Chairs, OpCo and Executive Committee (EXCOM) representatives from our Member organisations, WTTC professionals guide and support the work of the Council in fulfilment of its mission.
PURPOSE
The Executive Assistant to the President & CEO (EA) provides high-level executive support to ensure the effective management of the President & CEO's office and the smooth coordination of day-to-day activities.
This trusted, hands-on role works closely with the Board Affairs & CEO Office Manager to ensure alignment between diary management, external engagements, and governance-related commitments, while maintaining the highest standards of discretion and professionalism.
KEY RESPONSIBILITIES
Executive Support to the President & CEO
- Manage the President & CEO's calendar to ensure optimal use of time and effective prioritisation.
- Manage inbox and correspondence on behalf of the President & CEO as required.
- Record, monitor, and support execution of commitments made by the President & CEO, particularly during travel and external engagements.
- Ensure new contacts arising from meetings and trips are captured and shared with the Board Affairs & CEO Office Manager for accurate record-keeping.
- Provide ad hoc personal assistance to the President & CEO when required.
Coordination with Board Affairs & CEO Office Manager and OpCo EAs
- Liaise closely with the Board Affairs & CEO Office Manager to ensure coordination between the President & CEO's schedule and governance activities.
- Support preparation and coordination of briefings, documentation, and materials for OpCo, EXCOM, Board, Chair, and Vice Chair engagements, as required.
- Liaise with Executive Assistants of OpCo members and senior stakeholders, when required, to coordinate schedules, meetings, and communications.
- Assist with tracking and coordination of follow-up actions arising from governance meetings.
- Ensure consistency and accuracy of information shared between the President & CEO's office and governance-related processes.
Senior Stakeholder & Internal Coordination
- Liaise professionally with Board members, Council Members, senior executives, and external stakeholders on behalf of the President & CEO.
- Support preparation of presentations, briefing notes, and documents for key internal and external meetings.
- Assist with coordination of senior-level meetings and engagements, ensuring appropriate preparation and follow-up.
Travel, Events & External Engagements
- Manage travel arrangements for the President & CEO, working with appointed travel providers to ensure efficient and cost-effective planning.
- Support the development of efficient trip agendas in coordination with senior colleagues.
- Support the President & CEO's participation in events and speaking engagements, liaising with organisers and internal teams as required.
- Ensure appropriate collateral, briefing materials, and gifts are prepared in line with protocol.
- Travel with the President & CEO when required.
Systems & Office Coordination
- Provide basic administrative and IT support to the President & CEO's office.
- Support internal coordination activities and contribute to office-wide initiatives as required.
- Assist with internal events and engagement activities where appropriate.
KNOWLEDGE & EXPERIENCE
- Proven experience supporting a senior executive or CEO in a complex, international environment.
- Experience working alongside governance functions, Boards, or senior committees desirable.
- Strong organisational and administrative experience, with the ability to manage competing priorities.
- High level of IT literacy, including MS Office and collaboration tools.
- Experience within an international, membership-based, or non-profit organisation desirable.
- Fluency in both English and Spanish, both written and spoken, is required
- High level of discretion and professionalism when handling sensitive information.
