Role Overview

We are looking for a highly dependable Executive Coordinator to Director who will work closely with the Director and act as a central coordination point across sales, operations, HR, dispatch, and administration. This role requires high ownership, discretion, and follow-through, and is ideal for someone who wants a long-term, high-trust position within the organization.


Key Responsibilities:


1. Executive & Business Coordination
  • Act as the primary coordination support to the Director for daily business activities
  • Prepare, review, and track offers, quotations, proforma invoices, and official documents
  • Screen, prioritize, and respond to emails on behalf of the Director when required
  • Track action points from discussions and ensure timely closure


2. Cross-Functional Follow-Ups & Monitoring
  • Coordinate with internal teams (Sales, Accounts, HR, Stores, Production)
  • Follow up with external stakeholders (customers, vendors, transporters)
  • Monitor assigned tasks and report status updates to the Director
  • Escalate delays proactively with possible solutions


3. HR Coordination Support
  • Coordinate interview scheduling and joining formalities
  • Prepare offer letters and assist with onboarding processes
  • Track attendance, leave records, and basic HR documentation
  • Support HR-related coordination as required (non-policy role)


4. Dispatch & Logistics Coordination
  • Coordinate dispatch schedules with stores and logistics teams
  • Ensure correct documentation (invoice, packing list, transport details)
  • Track dispatch status and ensure customer commitments are met


5. Documentation & Reporting
  • Maintain trackers for tasks, follow-ups, and commitments
  • Prepare basic reports and summaries for management review
  • Ensure accuracy, clarity, and confidentiality in all records
