Summary:

We are seeking a highly experienced and proactive Executive Personal Assistant to provide dedicated support to the CEO. The ideal candidate will have direct experience as a Personal Assistant and will be responsible for managing the day-to-day operations of the CEO’s office. This role demands exceptional organizational skills, discretion, and flexibility, including the ability to work late evenings, weekends, and on-demand as required.




Key Responsibilities:




  • To act as a first point of contact: dealing with emails and phone calls

  • Manage and coordinate diary of CEO

  • Booking and arranging travel arrangements for CEO

  • Liaise between CEO and employees, clients & suppliers, often controlling access to the CEO.

  • Organize meetings, including board meetings; preparing and collating background papers,agendas and minutes as required.

  •  Confidential filing; maintaining a meticulous filing system. Ensure necessary records are maintained that can readily provide current, accurate and accessible information including keeping all paper and electronic filing up to date

  • Able to troubleshoot challenges as they arise and possess a can- do attitude

  • Budget monitoring - filing of expenses & basic bookkeeping

    Qualifications:



  • Associate's degree or equivalent experience in Personal Assistant or Executive Assistant to C-level executives.

  • Minimum 10 years experience (desired)

  • KEY COMPETENCIES AND REQUIREMENTS:



  • Must live relatively local to West of Accra (Job location is Weija, Mallam-Kasoa road)

  • Must be able to travel outside Accra

  • Must be able to work flexible working hours (late hours, weekends & on-demand, willingness to

  • work overtime if necessary)

  • A driving licence (advantageous)

  • Excellent organization skills (Meticulous with managing paperwork & filing systems)

  • Have the ability to work to extremely tight deadlines and under demand

  • Will be available Immediately and on an ongoing basis

  • Able to work to a high level of accuracy; demonstrating attention to detail

  • Previous experience of preparing meeting agendas and taking and producing minutes of meetings at Board Level.

  • Ability to work unsupervised and under pressure

  • Experience of prioritizing work tasks and managing a demanding workload; including the ability to deal with shifting priorities

  • Proficiency with computer systems, including experience with office management systems,ERPs, and Microsoft Office suite

  • Commitment to discretion and confidentiality concerning sensitive company information

  • A proactive mindset, and the ability to multitask and prioritize work

  • An honest person who works with integrity

  • Highly adaptable

  • Strong problem-solving skills

  • Excellent oral and written communication skills with strong emphasis on business communication

  • Strong interpersonal skills; must be able to work with individuals at all levels both internally and externally
