Job Description

The Executive Secretary will provide comprehensive administrative support to executives, ensuring the smooth operation of daily activities. The ideal candidate will have a strong command of English, Construction based experience, a high level of professionalism, and the ability to manage multiple tasks efficiently in a fast-paced environment. Requirements Key Responsibilities: Manage and organize executive schedules, meetings, and travel arrangements Handle and prioritise incoming calls, emails, and correspondence Prepare and edit reports, presentations, and other business documents Maintain an organized filing system, ensuring easy access to key documents and information Coordinate meetings, conferences, and events for the management team Take minutes at meetings and ensure accurate records are kept Manage office supplies and equipment, ensuring that the office runs smoothly Draft and send routine communications and business correspondence Assist in the preparation and review of contracts, reports, and other documents Maintain confidentiality and handle sensitive information with discretion Perform other administrative tasks as assigned by executives Requirements Proven experience as an Executive Secretary, Personal Assistant, or similar role Strong organizational and multitasking skills with a keen attention to detail Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Excellent written and verbal communication skills Ability to work under pressure and meet tight deadlines Strong interpersonal skills and a professional demeaner Discretion and confidentiality when handling sensitive information Ability to handle multiple tasks efficiently and proactively Strong time management and problem-solving abilities A bachelor's degree or equivalent in Business Administration or a related field (preferred)
