Job Description

We are looking for an Executive Support Officer to provide EA support to our Managing Director (MD) and high-level administrative support to our General Manager – Pollination (GM).

We are a farmgate beekeeping company with the primary objective of operating a safe, sustainable and profitable apiary operation. Our goal is to become one of the largest commercial beekeeping businesses in Australia, supporting agriculture through pollination services and honey production across various locations in Australia.

The Role

This diverse and fast‑paced role combines executive assistance, business administration and project coordination. You will play a key role in supporting our brokerage operations while ensuring smooth day‑to‑day running of the business through effective management of diaries, travel, expenses, stakeholder communication and compliance documentation.

While the role is advertised as part‑time (0.8 FTE), we are open to considering full‑time for the right candidate.

Key Responsibilities

  • Provide EA support to the MD, including diary and email management.
  • Coordinate meetings and communication between internal and external stakeholders.
  • Manage travel arrangements and credit card reconciliations for the MD in line with company policy.
  • Prepare capital expenditure proposals, lodging and tracking against budget.
  • Assist with administrative tasks for associated businesses, including product registrations, promotions and quoting.
  • Maintain an up‑to‑date database of external beekeeper documentation.
  • Prepare commercial contracts and manage onboarding for new external beekeepers.
  • Support the GM – Pollination in developing and maintaining invoicing and compliance processes.
  • Communicate with beekeepers and growers via bulk messaging and email campaigns.

About You

  • Previous experience working within an EA/administrative role.
  • Proficiency in Microsoft Office, including Word, Excel and Outlook.
  • Ability to adapt in a dynamic and changing environment.
  • High level of initiative.
  • Highly organised, forward thinking, and driven to succeed.
  • Full Australian working rights.
