Role- Facility Manager
Job Description:
A Facility Manager plays a critical role in ensuring the smooth, safe, and efficient functioning of the workspace. This role is responsible for managing day-to-day facility operations, maintaining infrastructure, ensuring compliance, and delivering a seamless experience for members and employees.
The primary goal of the Facility Manager is to create a well-managed, safe, and high-performing environment that supports productivity, wellbeing, and operational excellence across the workspace.
Key Responsibilities:
Facility Operations & Maintenance
- Oversee daily operations of the facility, ensuring all infrastructure, utilities, and services function seamlessly.
- Manage preventive and reactive maintenance of HVAC, electrical, plumbing, fire safety systems, and general infrastructure.
- Conduct regular facility inspections to identify issues and ensure timely resolution.
- Maintain cleanliness, hygiene, and upkeep of all common areas, workspaces, and amenities.
- Monitor energy consumption and implement sustainability practices to reduce utility costs and environmental impact.
- Coordinate waste management, recycling programs, and inventory of cleaning supplies to support operational efficiency.
- Ensure compliance with health, safety, and building regulations through routine audits and staff training.
Vendor & Service Management
- Manage and coordinate with vendors for housekeeping, security, maintenance, pest control, landscaping, and other facility services.
- Ensure service-level agreements (SLAs) are met and regularly reviewed.
- Negotiate contracts, monitor vendor performance, and optimize costs without compromising service quality.
- Ensure timely invoicing, documentation, and vendor compliance.
- Conduct vendor audits and performance evaluations to drive continuous improvement and accountability.
Asset Management
- Coordinate move-in/move-out efficiently, minimizing disruptions to operations.
- Track and maintain records of facility assets, inventory, and equipment for accountability and longevity.
- Oversee fit-outs, minor renovations, and layout modifications as business demands evolve.
- Conduct periodic asset audits and depreciation assessments.
- Implement asset tagging systems and maintenance schedules to prevent losses and ensure readiness.
Reporting & Documentation
- Maintain accurate records of maintenance schedules, vendor contracts, compliance documents and asset registers.
- Generate regular reports on facility performance, costs, and issues to inform stakeholders.
- Analyze data to propose operational improvements and cost-saving measures.
- Implement digital tracking tools for real-time documentation and audit readiness.
Crisis & Issue Management
- Address escalations, breakdowns, and emergencies with composure and efficiency.
- Create and update contingency plans to reduce downtime and operational risks.
- Liaise with internal teams and external agencies during incidents.
- Conduct post-incident reviews to refine response protocols and prevent recurrence - Incident report, RCA etc
- Train staff on emergency procedures and simulate drills for preparedness.
Qualifications and Skills:
- Bachelor's degree from any field.
- 7+ years of relevant work experience in facility management, hospitality or commercial real estate and operations.
- Strong written and verbal communication skills.
- Crisis management and conflict resolution skills.
- High attention to detail with a problem-solving mindset.
- A passion for the organization's mission, product and brand.
- Excellent vendor management and negotiation skills
- Ability to work in a fast-paced, dynamic, and 24x7 operational environment.
- Hands-on, ownership-driven, and proactive approach to work.
