We are a supplier for the Western Sydney Airport project and a key supplier to Sydney Water and its subsidiaries, D4C and WRDT, Endeavour Energy, Boral Industries. At the Smeaton Grange depot (Local), you will lead fleet operations ensuring efficient and safe equipment deployment.
The Role
As Fleet Controller, you are responsible for coordinating fleet operations, ensuring all equipment is deployed efficiently and safely in accordance with client requirements and company procedures.
Responsibilities
- Answer incoming calls and record bookings accurately using the Job Enquiry Sheet, adhering to work instructions.
- Collaborate closely with the Operations Administrator to reconcile dockets and ensure accurate record‑keeping.
- Coordinate with the Workshop Manager to schedule and oversee servicing of all plant and equipment.
- Maintain supplier lists for subcontractors and cross‑hires, ensuring compliance with contractual obligations.
- Schedule work effectively using our internal system FCC (fleet cost control).
- Generate job numbers in the accounting system.
- Obtain purchase order numbers from customers or provide justification when required.
- Process and schedule client orders, assigning operators—including drivers and riggers—to jobs.
- Assist in organising site inspections as required for supervisors.
- Resolve operational issues raised by operators promptly and efficiently.
- Cross‑check dockets against timesheets to ensure accurate allocation of hours and costs.
- Collaborate with HR to maintain skills and induction matrices, advising on outdated information.
- Purchase goods, services, and arrange cross‑hires following Freo Group purchasing procedures if authorized.
- Initiate and aid in resolving discrepancy and incident reports in line with QA/QC/Safety procedures.
- Attend team meetings and liaise with HR to ensure qualified operators are available.
- Log and report lost opportunities and jobs to the manager or appointed representative.
- Perform other duties as assigned by the Branch Manager or supervisors.
- Provide excellent reception and client liaison, including after‑hours support as agreed.
- Maintain a tidy work environment and adhere to clothing and PPE requirements as specified.
Attributes / Qualifications
- Experience in a similar role, significant knowledge of cranes, plant and heavy machinery (Desirable).
- Experience in administration, project management or team coordination is highly regarded.
- Strong communication skills, computer literacy, problem‑solving and management skills, and the ability to manage people.
- Knowledge of QA/QC procedures.
