Position Overview
The Front Desk Ambassador will have the primary responsibilities to provide day-to-day consistent
performance and fulfill the important role this position has within the company. The Front Desk
Ambassador makes the first impression to vendors, clients and anyone who walks through our doors.
You must reflect a positive and professional image in appearance, facial expressions and voice
inflections, both over the phone and in-person, welcoming visitors and helping Alkami employees;
treating all with equal importance. Everyone who visits Alkami, be it a visitor or employee, should feel welcomed.
Key Responsibilities & Duties:
β Maintain the front lobby logistics including, opening and closing office, signing visitors in
and out, with a consistent presence between 8:15 am and 5:30pm daily
β Replace the oldest newspapers on the waiting area table with the newest (which will be left
on the Alkami front doors or on your desk; turn on the lights, raise the window shades and
follow the same steps to close the office (lower shades, turn off lights)
β Answer phones/greet incoming people - Answering and transferring calls, returning voice
messages; greet visitors with a smile, ensuring they sign in and contacting their point
person via Slack or telephone; answering questions visitors may have by providing a
concierge type service when needed
β Assist with client visits to ensure we are prepared when they arrive (may require arriving
prior to 8:15am on occasion)
β Maintain lobby and lobby desk in a clean and orderly manner; report any cleaning issues to
Granite and other vendors as appropriate. Follow all cleaning procedures and protocols to
maintain a clean and safe environment per state regulations and internal processes on a
daily basis and especially during any pandemic or other natural disasters
β COVID Responsibilities include checking floors twice a day; compare corresponding
reports, Reservation Log, Envoy, Access Door Report to verify all Alkamist who have visited the office each day and on the weekends. Inform Alkamist about Envoy if not signed
in with the Front Desk or EBC conference room.
Report repeat offenders to Facilities &
HR. Ensure Front Desk counter and lounge seating areas are clean and sanitized
throughout the day as visitors come and go on a daily basis at all times.
β Maintain Vault current with Alkamists headshot photos and clients
β Adhere to all emergency procedures and maintain Fire Warden List
β Manage the visitor badge systems to ensure we are meeting the best in class security
practices, and keeping Alkami secure (such as maintaining temporary badges log,
completing quarterly access badges audit for Granite Properties, running access card
reports and monitoring check in/out process, checking security system for alerts and or
issues, and being able to check cameras and download recordings for HR/Legal)
β Manage the visitor management module within iOffice
β Maintain dock storage in a clean and organized manner
β Shipping & Receiving Responsibilities include but not limited to the following: Maintain
mailroom area in a clean and organized manner; picking up US Mail from lockbox, sorting
all incoming mail and packages; assist with notifying employees of packages delivered and
ensure packages are picked up in a timely manner; ensure that the Shipping and
Receiving policy is adhered to by Alkamists; FedEx Management - will create all packing
slips and send packages for entire company; will assist with shipping all materials via
FedEx for newly hired Alkamists; will utilize Pitney Bowes mailing when needed for
shipping instead of FedEx and will assist with preparing Disc Packages for shipping and
correspond with Executive Assistants when needed about mail via Slack
β Corporate Uber Account - Provide Uber services when requested by visitors/remote
employees
β Use the online Granite portal to schedule meeting conference rooms for large meetings
when additional conference space is needed; will work with Executive Assistants and
Managers to obtain conference room requirements.
β Use our internal ticketing systems (JIRA and landlord system) to submit maintenance and
HVAC work orders and ensure access is granted for employees to the gym and parking
garage; and process business card orders
β Triage the Facilities request within the internal ticketing system
β Daily Lunch duties involve taking a lunch list to Murphyβs Deli; Collect previous receipt and
turn into Sr. Facilities Manager for expense reporting
β Assist with maintaining and managing the vendorβs list
β Maintain lost and found; at some point donate forgotten items
β Facilities Support - Provide support for the Facilities Manager as assigned
β Employee Relations - Order gifts for life events related to employees.
β Other duties as assigned
Qualifications :
β Experience working in a front office handling receptionist responsibilities
β Proficient with Microsoft Office Suite
β Professional appearance to include Alkami logo attire (to be provided)
β Solid communication skills both written and verbal
