ROLE OVERVIEW


About the Client:
The client is a hospitality company operating a portfolio of 30–40 short-term rental properties across Central Texas and East Tennessee. We manage guest relations, daily operations, turnover coordination, and on-the-ground support across multiple markets. As the company grows, we are expanding our virtual operations team to ensure consistent coverage, high-quality service, and operational redundancy. We currently have an experienced senior VA team lead who will be actively involved in onboarding and daily support.

About the Role:
We are seeking a high-caliber Virtual Assistant for Guest Relations & Operations to support our East Tennessee market initially, with potential to support Texas operations as proficiency increases.

The ideal candidate has prior hospitality, guest relations, or short-term rental operations experience, with fluent verbal and written communication skills, strong problem-solving abilities, and comfort using a variety of digital tools.


Key Responsibilities
Guest Relations/Hospitality (Primary)

  • Respond to guest inquiries via messaging platforms, email, and potentially phone calls as needed.

  • Provide friendly, concise, and professional communication aligned with brand standards.

  • Handle escalations, urgent guest issues, and schedule-based guest support during peak times.

  • Triage issues to handle independently or escalate to next level management and/or the Operations Team if you are unsure about any question by guests or vendors.

Operations Support

  • Execute assigned operational tasks from a structured task list (approx. 10–20 tasks initially; growing to ~40 as proficiency increases).

  • Use internal tools to track and complete daily workflow (task management, scheduling, coordination tools).

  • Support turnover/cleaning logistics, such as coordinating cleanings, verifying schedules, and monitoring completion.

  • Assist with property readiness checks, documentation, and follow-up processes.

Tools & Systems

(Experience preferred but not required — training provided)

  • Google Workspace (Gmail, Sheets, Docs, Drive)

  • Task management and project tracking tools

  • Messaging platforms and communication tools

  • Operations/cleaning coordination systems

  • Short-term rental platforms (Airbnb, VRBO, etc.) a plus

Qualifications Required

  • Strong written English communication skills
  • Prior experience in guest relations, hospitality, short-term rental operations, or similar customer-facing work
  • Comfort learning multiple tools and following detailed operational processes
  • Ability to work independently and handle time-sensitive tasks
  • Stable high-speed internet and backup power/connection solutions
  • Willingness to work during U.S. holiday periods as needed

Qualifications Preferred

  • Experience supporting U.S.-based teams
  • Experience with property management, STR operations, or resort cleaning/turnover coordination
  • Software - OwnerRez (Hub), Resort Cleaning, Upwork, G Suite (preferred)
  • Familiarity with AI tools or ability to adopt them quickly
