Executive Assistant


Summary:

The Executive Assistant plays a pivotal role in supporting the Chief Partner (CP) and Vice Chief Partner (VCP) by providing comprehensive administrative, operational, and strategic support. This position ensures seamless day-to-day operations, enabling senior leadership to focus on high-impact priorities. The ideal candidate is a proactive, detail-oriented professional with a proven track record in managing complex schedules, coordinating high-level meetings, and handling sensitive information with the utmost discretion. Responsible for managing calendars, travel logistics, correspondence, reporting, and special projects, this role is central to the efficiency and effectiveness of the leadership team.

Responsibilities:

  • Manage the CP’s and VCP’s calendars, including scheduling appointments, coordinating meetings, and sending timely reminders.
  • Handle all incoming and outgoing correspondence, including emails, phone calls, and postal communications; oversee cash, stationery, and expense tracking.
  • Arrange and coordinate car and chauffeur services for the CP and VCP during their time in town.
  • Plan and execute comprehensive travel arrangements, including flight bookings, accommodations, and detailed itineraries.
  • Ensure timely payment of utility bills for Eden Court and monitor credit card statements, communicating updates to relevant stakeholders.
  • Draft, review, and respond to emails, letters, and official communications as directed.
  • Organize internal and external meetings, conferences, and video calls; prepare and distribute agendas, minutes, and supporting documents.
  • Serve as the primary point of contact between the CP, VCP, and internal/external stakeholders.
  • Develop and maintain daily, weekly, and monthly dashboards, reports, and presentations as required.
  • Track and follow up on action items from meetings and ensure timely execution.
  • Maintain secure, organized, and confidential files, records, and documentation.
  • Monitor task progress and provide regular updates to the CP and VCP.
  • Assist with approvals and internal communications as directed.
  • Support special projects and perform other duties as assigned by the CP and VCP.

Requirements

Requirements:
  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • 15 years of progressive experience in a high-level administrative or executive support role.
  • Expertise in calendar management, meeting coordination, travel itineraries, and scheduling logistics.
  • Exceptional written and verbal communication skills with a professional demeanor.
  • High level of discretion and integrity when handling confidential and sensitive information.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with project tracking tools is a plus.
  • Strong organizational, multitasking, and time-management skills.
  • Proactive problem-solving mindset with the ability to anticipate needs and act independently.
  • Demonstrated ability to prioritize work effectively and manage competing deadlines.
  • Excellent interpersonal skills and the capacity to engage confidently with senior leaders and external partners.
