Junior Administrative Assistant (Accounting + Stock + International Shipping + Marketing Support) – Barcelona City Center (On-site)

At Genome Cosmetics SL
(a private label cosmetics company with international operations), we are looking for a
junior
candidate for a cross-functional role. You will join the team to support the
accounting department
, assist with
marketing
, and manage
stock reports
and basic tracking of
international shipments
. We don't require experience: we do require a foundation in the field, a positive attitude, reliability, and a willingness to learn.
Responsibilities ( 40% Accounting/30% Stock-operations/30% Marketing)
Accounting / Administration
- Support in reviewing and registering invoices, document control, and administrative orders.
- Simple reconciliations and support in recurring departmental tasks.
Stock + Operations + International Shipping
- Preparation of
stock reports
(entries/exits, incidents, adjustments) and updating of data. - Tracking
international shipments
: traceability, coordination with warehouses/carriers, and incident resolution.
Marketing Support
- Extraction of lists/data, operational support, and reporting for team actions.
- Preparing simple reports in Excel from ERP data.
- Excel
(essential): pivot tables and VLOOKUP/XLOOKUP. - Odoo (ERP)
: We use it daily;
no prior experience is essential
if you learn quickly. - Natural use of
AI
(ChatGPT or others) for productivity: drafts, summaries, reporting support (with criteria and confidentiality).
Requirements:
- Vocational training
(Intermediate or Higher Level) in
Administration/Finance, Accounting, Logistics,
or similar. - Conversational English
: being able to talk to colleagues/warehouses and understand each other without blocking. - A bright, dynamic
, organized person
who is not afraid of the phone
. - Data reliability, attention to detail, and commitment to doing a good job. Reliability and order take precedence over speed.
- Having used any ERP (ideally Odoo).
- Basic knowledge of logistics/operations or academic/project experience with reporting.
