Job Description

We are seeking a detail oriented and proactive Administrative Assistant to support client meetings, internal operations, and advisor workflows. The ideal candidate is organized, dependable, and able to work both independently and collaboratively.

Responsibilities

Prepare meeting folders, agendas, documents, and supporting materials to ensure our advisors are fully equipped for each client meeting
Coordinate with advisors and internal team members to verify all information is current, accurate, and properly documented
Record and update detailed notes within CRM systems to maintain thorough client records and follow-through
Ensure timely delivery of communications and materials to clients and team members after meetings
Maintain organized digital files for easy access and compliance purposes
Assist with scheduling appointments, confirmations, and reminders to support efficient calendar management
