Role Overview

The Office Administrator at Nanometrics is a foundational role responsible for the physical environment and the daily operational flow of our office. This position is ideal for a professional who is highly organized, energetic, and eager to manage a variety of responsibilities ranging from facilities oversight to executive administrative support. Your goal is to ensure the office is a productive, safe, and welcoming space for employees and guests alike. You will act as the primary point of contact for office operations and provide essential administrative support to the Executive Team to help streamline their daily activities.

Job Title: Office Administrator

Reports To: Head of Executive Operations

Location: Ottawa, ON (Hybrid)

Term: Full Time

Responsibilities

  • Executive Team Support: Perform general administrative duties such as processing expense reports and submitting invoices to finance.
  • Liaison with our corporate travel agent to coordinate the Executive Leadership Team travel arrangements.
  • Facilities Oversight: Monitor and manage the internal facilities helpdesk, ensuring all tickets are addressed and resolved in a timely manner.
  • Liaison with property management for building‑related issues and maintenance.
  • Coordinate with external vendors for office repairs and equipment maintenance.
  • Office Administration: Be the first point of contact for the office & primary contact for the lobby reception system.
  • Maintain a professional and welcoming office environment, including overseeing the cleanliness and readiness of the executive boardroom and kitchen areas.
  • Monitor and manage the inventory of office resources and kitchen supplies, ensuring all areas are fully stocked and organized.
  • Coordinate board/customer lunches and catering for onsite meetings and executive team gatherings.
  • Health & Safety: Facilitate and act as an employee representation champion for the company Joint Health and Safety Committee.
  • Ensure the office remains compliant with safety protocols.

Requirements

  • 3+ years of experience in administration and/or office services, including experience managing a fast‑paced office and/or providing support to senior management.
  • Strong computer proficiency, specifically with Google Workspace (Gmail, Docs, Sheets, and Calendar).
  • Proven ability to handle material and information with strict discretion and confidentiality.
  • Excellent communication skills with an ability to communicate with confidence.
  • High level of attention to detail and accuracy in your work.
  • A positive attitude and a "team player" mindset.
