As an Operations Assistant , you will act as the right hand of the COO, supporting daily operations, client communication and administrative tasks. This role is focused on organization, follow-up, communication, and research. You will help keep processes running smoothly, ensure timely communication with clients, and support decision-making through organization and research.


Key Responsibilities
  • Manage the COO’s calendar and schedule meetings.
  • Handle written communication with clients (email, LinkedIn, messaging apps) in fluent business English.
  • Respond to inbound messages and follow up on conversations when needed.
  • Take meeting notes and summarize key points and action items.
  • Draft follow-up emails and internal or client-facing documents.
  • Organize files, documentation, and internal processes.
  • Conduct light research on market trends, competitors, and improvement opportunities.
  • Support day-to-day administrative and operational tasks as needed.


Requirements
  • Fluent English (written and spoken - business level).
  • Must reside in Brazil
  • Excellent written communication skills.
  • Strong organizational skills and attention to detail.
  • Experience with administrative support, operations, or executive assistance.
  • Comfortable working independently and managing multiple tasks remotely.


Nice to Have
  • Previous experience as an Executive Assistant, Operations Assistant, or Virtual Assistant.
  • Familiarity with tools like Google Workspace, Notion, CRM systems, or task management tools.
  • Experience supporting founders, executives, or leadership teams.
