As an Operations Assistant , you will act as the right hand of the COO, supporting daily operations, client communication and administrative tasks. This role is focused on organization, follow-up, communication, and research. You will help keep processes running smoothly, ensure timely communication with clients, and support decision-making through organization and research.
- Manage the COO’s calendar and schedule meetings.
- Handle written communication with clients (email, LinkedIn, messaging apps) in fluent business English.
- Respond to inbound messages and follow up on conversations when needed.
- Take meeting notes and summarize key points and action items.
- Draft follow-up emails and internal or client-facing documents.
- Organize files, documentation, and internal processes.
- Conduct light research on market trends, competitors, and improvement opportunities.
- Support day-to-day administrative and operational tasks as needed.
- Fluent English (written and spoken - business level).
- Must reside in Brazil
- Excellent written communication skills.
- Strong organizational skills and attention to detail.
- Experience with administrative support, operations, or executive assistance.
- Comfortable working independently and managing multiple tasks remotely.
- Previous experience as an Executive Assistant, Operations Assistant, or Virtual Assistant.
- Familiarity with tools like Google Workspace, Notion, CRM systems, or task management tools.
- Experience supporting founders, executives, or leadership teams.
- Freelance Contract (PJ).
- Flexible Schedule: 8 hours/day (9 AM – 1 PM BRT fixed + 4 flexible hours).
- 100% Remote Work.
- Annual in-person team meeting.
- Direct Mentorship: Work closely with the COO and gain a front-row seat to scaling an international operation.
