One of our trusted consulting partners is recruiting for the following role:

Hiring: Operations & Settlement Coordinator (Remote – Colombia)

This is a great opportunity to support a growing U.S. operation by ensuring day‑to‑day continuity across fleet maintenance coordination, contractor service validation for billing, and daily route close‑outs.

As a key operational support partner, you will:

Fleet Maintenance Coordination

  • Maintain a preventive/corrective maintenance calendar per truck (inspections, mileage tracking, oil changes, scheduled services).
  • Coordinate appointments with vendors/shops and confirm truck availability to minimize downtime.
  • Track completion, documentation, and upcoming milestones (dates/odometer updates, when applicable).
  • Communicate status updates and timelines to contractors/operations.
  • Serve as the first point of contact for contractor questions related to settlements and payments.
  • Validate completed services in DispatchTrack (or designated system) to support accurate billing/payment processing.
  • Resolve discrepancies by identifying gaps, requesting clarifications, and documenting corrections with supporting evidence.

Daily Route Close‑Out & Reporting

  • Prepare and submit daily route close‑out reports (completed services, documentation, incidents, key notes).
  • Review work order notes for completeness and request additional detail when needed (minimum "acceptable notes" standard).
  • Maintain a recurring‑issues log (missing notes/support, variances) and propose process improvements.
  • Create/update checklists and templates (close‑out, note standards, payment validation).
  • Produce simple trend reports (common errors, incident trends, close‑out cycle times, etc.).
  • 2–4 years experience in operations/logistics coordination, service coordination, dispatch, or operations back‑office roles.
  • Advanced English (C1/C2)
  • Experience supporting remote teams/contractors and documentation‑heavy workflows (traceability‑driven).
  • Preferred: experience coordinating vendors, maintenance, and/or assets (fleet/equipment).

Availability Required: U.S. (GMT‑4) 10:00 AM – 7:00 PM (Mon–Fri)

Occasional Saturdays may be required depending on operational needs

Compensation: Paid in USD (based on experience and fit)
